This role demands an extraordinary professional who thrives in high-performance environments and demonstrates the highest level of integrity, discretion, and responsiveness. The Executive Assistant should be highly organized, detail-oriented, and capable of managing a wide array of priorities in a fast-paced, global setting. The Executive Assistant will proactively support executive-level initiatives, including coordination with internal leaders and external partners, planning of high-stakes meetings and travel.This is an onsite role in Palm Beach Gardens, requiring flexibility to extend beyond normal working hours as needed to support the executive team's demanding schedule and assist in achieving their goals. Plus, we'll support your growth with paid-for external training programs and courses.Key ResponsibilitiesMaintain schedules for meetings and conferences as well as adjusting based on dynamic prioritiesSchedule domestic and international travel arrangements, completing detailed meeting and travel itineraries and monitor and complete expense reports in a timely mannerConsolidate reports and materials for executive meetings, including senior business reviewsManage logistical arrangements for leadership meetings to ensure a seamless executionAnalyze complex information requests with the utmost confidentiality and professionalismInterface with all levels of the organization and with external customers in a professional and effective mannerOther administrative support and special projectsBasic QualificationsHigh School Diploma or GED7+ years of experience supporting senior executives, i.e. C-suite or global leadershipPreferred QualificationsBachelor's degreeExperience from large corporations (e.g., $20 billion+ annual revenue)Flexibility to work outside of standard business hoursProficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word and Teams) and ZoomDemonstrated ability to manage sensitive information with utmost discretionEffective written and verbal English communication skills, with meticulous attention to detail, capable of professional and consistent tone at all organizational levels, including senior leadershipSound Judgment, prioritization, and time management in high-pressure situationsOrganization skills to manage logistics and plan for key leadership events, executive meetings, and business reviewsFlexible and adaptable in navigating changing priorities and tasks within a fast-paced environmentExperience coordinating company or customer events that involve senior-level stakeholdersSelf-motivated with the ability to exercise initiative and work independentlyProven ability to multi-task effectively across a variety of assignmentsAdditional InformationMust have unrestricted authorization to work in the USA.
