Overview:

The Financial Operations Assistant functions as an internal support center for work processes related to Individual Life and Annuity products. Associates in this department balance independent work with a collaborative team environment, dealing with fluctuating volumes, daily time constraints, and a continuous focus on improving operational efficiency.


Job Responsibilities:

  • Support Activities (55%):
  • Sort and distribute a variety of system and manually generated output to clients, advisors, and imaged files.
  • Review and distribute system reports to internal business partners.
  • Process output for distribution to clients, Life Policy Administration, Claims, Annuities, and Systems Administration.
  • Respond to customer email requests to pull output.
  • Policy Assembly (40%):
  • Assemble new issue life insurance policies and in-force reissue policy pages for distribution to advisors or clients.
  • Utilize VISTA Web system for managing outstanding requirements, policy mailing dates, delivery dates, and underwriting expiration dates.
  • Forward policies by mail to advisors or clients within daily deadline timeframes.
  • Update home office files and prepare client files for distribution to external reinsurance partners.
  • Monitor incoming emails and referrals for notification.
  • Assemble client files in electronic format and transmit to the appropriate reinsurance company.
  • Additional Responsibilities:
  • Perform related activities as directed, managing personal self-development to prepare for new responsibilities and challenges in a changing environment.


Qualifications:

  • Understanding of Individual Life products, work processes, and procedures related to Operation Support Services, Life New Business, Underwriting, and Life Policy Administration.
  • Working knowledge of systems used in performing assigned job responsibilities, including the Client Foundation System, VISTA, AdminServer, Lotus Notes, REM, Adobe Acrobat Professional, Microsoft Word, and Microsoft Excel.
  • Communication skills to interact with department and other home office associates.
  • Ability to follow detailed workflows via online documentation and perform each job accurately and efficiently.
  • Strong attention to detail to ensure accurate assembly of life insurance policies, timely handling of return mail within regulatory timelines, and correct processing of output.
  • Ability to work independently when appropriate and seek assistance when needed.
  • Organization and planning skills to prioritize workload and adjust to changing priorities.
