We’re looking for an Customer Service and Accounts Coordinator who has excellent organizational skills and a personable disposition to keep us thriving. The ideal candidate will have a natural flexibility in handling day-to-day routines as well as surprises, and will provide strong, reliable support for operations by creating procedures and communicating them companywide, and by maintaining employee safety.


This role will be 100% on site for the first 6-12 months (training), after which it will be a hybrid role with a 3 day in-office presence requirement.



Responsibilities:


  • Oversee visitors to the office and ensure a friendly, personal experience
  • Ensure peak operations for the customer service, office operations and implement preventive measures for potential issues
  • Implement policies and procedures, measure outcomes against standards, and improve operational flow
  • Coordinate internal and external resources, and cultivate relationships with customers and vendors
  • Register orders/sales, provide customers with courteous, fair, friendly, and efficient checkout service
  • Provide support to the sales team as needed
  • Process Invoices and Payments. Provide general administrative and accounting support to our CPA, executive team and employees
  • Ensures billing and collection activity is timely in order to meet accounts receivable standards.
  • Serve as the point person for office manager duties including: maintenance, mailing, equipment, bills, errands
  • Schedule meetings, ordering supplies
  • Organize the office layout and order stationery and equipment
  • Provide support and coordination of interviews for new hires and human resources function dealing with employee relations
  • Great with client communication.
  • Maintain the office space for operational conditions and arrange necessary repairs
  • Other duties, as assigned.
  • Coordinate inventory warehousing


Required skills and qualifications:


  • Bachelor’s degree or equivalent experience
  • Two+ years of experience in office management/administration
  • Proficiency in Microsoft Excel
  • Basic knowledge of any accounting software


Preferred skills and qualifications:


  • SAGE accounting experience
  • Knowledge of ADP
  • Experience managing Inventory
  • Manufacturing Industry experience
