ENERGY SYSTEMS GROUP is looking for an Accounts Payable Specialist to join our Accounting team at our Corporate Office located in Newburgh, Indiana. This position is on site.



The Accounts Payable Specialist is responsible for all accounting work associated with processing accounts payable, expense reporting, and sales/use tax submissions. This position is responsible for maintaining the vendor database, including tracking and reporting for 1099 purposes; processing of all invoices received for payment, including reviewing for accuracy and appropriate support and approvals; preparation of payments via disbursement checks, ACH transactions, and wire transfers; and monthly accounting reconciliation of all assigned general ledger accounts. Additionally, this position is responsible for the employee electronic expense report processing, oversite of employee receivables, preparation of all monthly/quarterly/annual sales and use tax returns, and coordination of reporting to internal and external auditors.



The essential functions of the position include:




  • Responsible for all accounting work necessary to ensure accounts payable are processed in a timely and efficient manner
  • Review all invoices and check requests for appropriate documentation and approval prior to payment
  • Prioritize invoices according to cash discount potential and payment terms
  • Respond to all vendor inquiries
  • Ensure vouchers are coded to the correct general ledger and project codes, when required
  • Prepare and process payments (checks, ACH, and wires)
  • Maintain vendor records, including 1099 reporting information
  • Prepare and reconcile annual 1099 reports
  • Review and audit electronic expense reports
  • Handle employee matters related to online expense reporting and employee receivables; troubleshoot employee problems and questions and also provide instructional training to new hires on the expense reporting system
  • Tracking and reporting on business leases, including management of payment schedules, etc.
  • Responsible for use tax accounting and submissions
  • Reconcile general ledger accounts as assigned on a monthly basis
  • Prepare documentation as requested in support of audit work for internal and external auditor, including sales and use tax audits


Your background includes:




  • Associate‘s Degree in related field or in lieu of a degree, comparable experience
  • Two (2) to three (3) years‘ related experience
