Relentless Brands is seeking an Executive Assistant to support the two Founders. This is a highly visible role that requires someone to be extremely organized and detail-oriented. This position requires an assistant who is anticipatory, resourceful, can work autonomously, takes initiative, and demonstrates excellent follow-through. The successful candidate will demonstrate confidentiality, diplomacy, and tact when proactively dealing with complex issues, and situations, and solving problems. Candidate must be comfortable with multi-tasking and prioritization in a fast-paced environment with close attention to detail, accuracy, and timeliness. The ideal candidate will be a resourceful thinker able to anticipate obstacles, creatively unravel them, and take proactive steps to manage circumstances with minimal supervision.
Responsibilities:.
- Providing real-time phone coverage, calendar, and e-mail management and support
- Schedule and coordinate appointments. Serve as onsite support in the coordination and planning of meetings and overseeing of reception area.
- Communicating directly with directors, executive and senior leadership, team members, and others in a timely, diplomatic, and gracious manner
- Demonstrate exceptional organizational skills, while proactively managing multiple schedules and changing priorities.
- Manage calendar requests to ensure efficient and effective time management, resolve potential scheduling conflicts, and ensure senior executives are prepared for scheduled activities.
- Plan meetings; coordinate participant schedules, reserve adequate meeting space, send calendar requests, meeting agendas, etc. to ensure all participants are prepared.
- Maintain meeting agendas, minutes, and action item status, as well as ensure daily paperwork is processed and maintained in a timely manner.
- Prepare and review correspondences for content and grammar as needed.
- Collect and compile information for various reports, presentations, and/or dashboard summaries, and be able to present that information in a way that is suitable for a variety of audiences up to and including executive leadership.
- Coordinate travel and submit expense reports in an accurate and timely manner.
- Coordinate orders for office supplies and other identified business needs.
- Working with confidential and sensitive information which requires utmost adherence to confidentiality. Must use considerable tact, diplomacy, and judgment in interactions with directors, senior executives, and staff.
- Prioritizing conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures
- Occasionally providing administrative support to other members of the Executive Team, especially with regard to scheduling meetings
Required Qualifications:
- Previous administrative support experience or equivalent experience
- Excellent verbal, written, and interpersonal communication skills
- Ability to manage changing travel itineraries, accurately manage expense reimbursement, manage a busy calendar and appointments flawlessly
- Experience supporting calendar management, travel arrangements, scheduling of meetings and events
- Highly refined and professional verbal and written communications
- Ability to consult, build, and maintain solid working relationships in and outside of the immediate department
- Ability to handle confidential material in a professional manner
- Outstanding problem-solving skills
- Ability to work with limited supervision
- Strong attention to detail and accuracy skills
- Moderate to Advanced Microsoft Office (Word, Excel, Outlook, and PowerPoint) skills
- Ability to prioritize work, meet deadlines, achieve goals, and work under pressure in a dynamic and complex environment
- Strong organizational, multi-tasking, and prioritizing skills
