Assistant Operations Manager

The duties below encompass the overall growth path. Job responsibility will increase as accountability for duties increases.

  • supporting and coordinating overall front office activities
  • assist in updating social media accounts such as Facebook with relevant content.
  • greeting customers and working with the customers showing our product and scheduling a design consultation with one of our designers.
  • tracking job status and including multiple vendor order status
  • scheduling job installations which include working with customer schedules.
  • ordering accessory material by job – details are on the Sales Order.
  • ordering production material by job – details are in the CAD software.

Communication skills - Experience or skill effectively exchanging and understanding information, verbally or in writing.

Administrative experience - Experience or skill performing administrative tasks such as answering phones, scheduling appointments, and maintaining records.

Office experience - Experience in office organization or non-specialized business operations.

Supervising experience - Experience supervising personnel in a professional setting.

Organizational skills - Ability to organize workload, processes, or physical objects and spaces.

Office Software Skills – Ability to use MS Word and MS Excel. This includes recognizing the use of formulas in MS Excel and using MS Excel simple analysis tools such as sort and subtotal for data analysis. Ability to learn and gradually use our in-house CAD Design tool

Filing - Experience ordering and maintaining documents according to a predetermined system.

Clerical experience - Experience or skill related to daily office tasks, such as answering phones and filing documents.

Phone etiquette - Experience practicing good manners when on the phone.

Front desk - Skill or experience interacting with the public at a front desk and on the phone. Responsibilities may include reception duties, customer service including some sales, and appointment scheduling.
