Position Overview

The Administrative Coordinator provides a broad range of administrative support to SOES team members and staff executives.

Role and Responsibilities
  • Support critical SOES programs and technical committees by drafting announcements, arranging event logistics (A/V, room assignments, catering, etc.), preparing and distributing meeting materials, and posting documents to AGA's website and committee sites.
  • Maintain Committee, Discussion Group and Task Group rosters in Netforum.
  • Coordinate and conduct ballots for engineering group codes, standards, publications, and technical papers.
  • Format and create online surveys with Survey Monkey.
  • Use CVENT to establish online registration for events/meetings and review/modify event pages as needed.
  • Work with Meeting Services to coordinate meeting logistics for various SOES events.
  • Provide necessary support for in-house and offsite meetings, including traveling to event locations
  • Provide administrative support including notetaking for meetings, and processing invoices for approval.
  • Create Professional Development Hours (PDH) claim forms; process forms, prepare and send verification letters to members who claim PDH hours for designated Operations Section events.
  • Provide support to member company representatives/committee members and assist with access to AGA resources such as the member website.
  • Participate in the planning of the Operations Conference, including supporting program development and communications with speakers.

Qualifications and Education Requirements
  • High level of proficiency with Microsoft Office (Word, Excel, PowerPoint and Access), including creating tables, charts and graphics, and working with long and/or complex documents.
  • Ability to manage multiple assignments and use time productively on highest priorities
  • Effective written and verbal communications skills.
  • Experience with Survey Monkey and CVENT At least three years of experience serving in an administrative capacity supporting teams.
