Responsibilities and Expectations for this position include:

·         Process daily time entries.

·         Process multi-state weekly payroll and review payroll register for accuracy for approximately 60 employees

·         Process weekly payroll Prevailing Wage and Davis Bacon Wage Reports.

·         Verify all payroll changes, updates, and overtime into the payroll software system, ensuring the accuracy of the information entered.

·         Process new hires and final pays

·         Process and pay all federal, state, and local payroll taxes weekly, semi-weekly, monthly, quarterly and annually.

·         Process and pay all benefits as required.

·         Process and reconcile all federal, state, and local payroll tax reports, including quarterly and year-end returns.

·         Maintain and ensure the accuracy and organization of payroll records by maintaining the payroll database with updates in status changes, tax withholdings, benefit deductions, electronic and paper records in accordance with company policies

·         Maintain a detailed annual payroll calendar of key payroll related tasks and due dates for planning purposes

·         Ensure compliance with all applicable State and Federal wage and fair laws

·         Acting as the point of contact for payroll issues and questions

·         Handle federal and state agency audits and maintains close vendor relationships with regulatory agencies

·         Identify and resolve day to day issues in compliance with Federal and Provincial legislation, company policy/procedures as required (utilizing problem solving and probing skills)

·         Responsible for coordination and/or regular updates related to payroll software and related software upgrades

·         Work closely with Finance to ensure that payroll actions and records confirm with accounting policies and procedures

·         Interpret company policies and government regulations in connection with payroll activities

·         Develop, implement, and refine payroll procedures, policies and work rules


Qualifications for payroll administrator:

·         The ability to excel in a dynamic environment and interact with all levels of the organization

·         Work with the Controller to ensure all Finance employee goals are established, monitored and followed up with on an ongoing basis in accordance with Company policy

·         Two to five years payroll experience in a medium sized corporation (i.e. collecting and processing time sheets and payroll, setting up new hires and processing terminations, maintaining payments, records and files for all employees, preparing tax reports and reconciliations, and distributing and processing W-2s.

·         Maintain SOP’s and provide user/manager training and education as needed

·         Experience in HR administration preferred

·         Experience with Deltek ComputerEase software a plus.
