Security AssistantThe Security Assistant will assist the assigned Government Division Chief and assigned team leader with various security administration duties to ensure the protection of classified national security information and Sensitive but Unclassified information within DOS facilities worldwide.Essential Duties and Responsibilities:Provides support to the Department of State's programs established to protect classified national security information at all classification levels and in accordance with applied handling caveats within the Department and that which may be entrusted to private industryProvides administrative support for the Branch Chief for general administration, department reports, rosters, action tracking, and special projectsInterfaces with various levels of personnel in the Division on office policies, personnel matters, and procedures related to the day-to-day operations of the DivisionDrafts correspondence and develops and maintains databases for statistical analysisPrepares office files using various office platforms such as IMS, ServiceNow, etc. throughout the year and conducts annual reportsWorks with Division security specialists to scan paper case files and enter relevant information onto and into various office data base platformsInputs and verifies accuracy of data from a wide variety of source documents such as security incident records and other narrative and statistical information and assists administratively in the processing of security incidentsOrders and maintains office supplies, office equipment, and property equipment inventories as assigned by the Division, placing calls for equipment repair requests and physical plant problemsRapidly responds to and resolves any administrative problems and maintains office recordsParticipates in U.S. Marine security guard exercises to investigate proper safeguarding of classified information within the workplaceClearly and effectively communicates within the DirectorateWorks under direct supervision in the day-to-day performance of assigned program security support tasks and actionsConducts assigned duties and responsibilities in accordance with agency policies and applicable security regulationsExperience, Education, and Licensure:U.S. Citizenship requiredHigh school diploma or GED equivalentOne (1) year of specialized administrative experience in the following areas: Office management, suspense tracking, review of executive level correspondence, database administration, financial and project status tracking and reporting, monthly reporting, and maintenance of operating proceduresEach year of college can be substituted for one year of experiencePreferred: Department of State experienceKnowledge of and ability to follow database guidelinesExperience providing general administrative support to an office and maintaining various administrative reportsExperience using database softwareProficiency in Microsoft applications, including Word, PowerPoint, and ExcelReasonable accommodation may be made to enable individuals with disabilities to perform the following essential functions.Supervisor Responsibility: No.Work Environment: A professional office in which typical office equipment and information technology is used.Physical Requirements: The physical demands described must be met by an employee to perform the essential functions of the job. The employee must be able to: see, hear, and speak; lift objects weighing up to 20 pounds; sit for extended time; and use a personal computer and typical peripheral devices.Travel: No.Work Authorization/Security Clearance: DoD Secret or higher security clearance, or the ability to obtain and maintain a Secret clearance. U.S. Citizenship is required.Additional Qualifying Factors: Must have the ability to obtain and maintain a security clearance. In addition, a satisfactory background screening, negative drug test, positive references and proof of identity and legal authorization to work in the United States are required.Salary: $60,257.60/annually
