a receptionist who can make our guests feel at home while providing exceptional administrative

support to both our clients and the Gilbert & Cook team.

The ideal candidate will excel in managing telephone calls, scheduling appointments, and

assisting executives with administrative tasks, all while maintaining a high level of

confidentiality. In our fast-paced professional environment, you will support the Client Service

Coordinator at the front desk and handle a variety of responsibilities independently. If you are

detail-oriented, organized, and motivated, and share our passion for delivering a unique and

Role Responsibilities

  • Serve as the first point of contact in the office: Welcoming office guests and directing them to the appropriate person or office.
  • Deliver exceptional hospitality to clients and guests, ensuring they feel welcomed and valued.
  • Maintain the Gilbert & Cook meeting calendar for both in-person or virtual appointments; handling inquiries as needed.
  • Maintain office electronic files.
  • Provide general administrative support, including scheduling meetings, transcription, printing, photocopying and faxing.
  • Ensure the office’s appearance and condition, including, setting up meeting spaces, managing office supply inventory.
  • Manage and maintain the kitchen area, ensuring it is well-stocked, clean, and organized.
  • Assist the Client Service Coordinator with planning & scheduling meetings, conferences teleconferences & travel.
  • Oversee office services such as mail pickup, deliveries and office supply maintenance.


Candidate Requirements

  • Excellent verbal and written communication skills with the ability to handle sensitive and/or technical client/employee situations with diplomacy and confidentiality.
  • Strong multitasking, attention to detail, organizational, and independent problemsolving skills.
  • Exceptional computer skills, including proficiency in various software packages such as our client management system and Microsoft Office Suite.
  • A team player who works well with individuals at all levels of the firm and with high-net worth clients.
  • Professional office experience preferred.
  • A 4-year degree preferred.
