The Details:

  • 6 month Contract
  • 40 hours/week
  • Compensation: $65-85/hr, DOE

What You’ll Do:

Event Planning and Strategy:

  • Work closely with clients to understand their event goals, audience demographics, and budget requirements.
  • Develop event concepts, themes, and strategic plans that align with client objectives and brand messaging.

Logistics and Coordination:

  • Manage all aspects of event logistics, including venue selection, vendor management, catering, transportation, and audiovisual production.
  • Coordinate with internal teams and external partners to ensure seamless execution of event logistics and operations.

Budget Management:

  • Develop and manage event budgets, tracking expenses, negotiating contracts, and optimizing costs to achieve financial targets.
  • Provide regular budget updates and financial reporting to clients and stakeholders throughout the event planning process.

Timeline and Production Schedule:

  • Create detailed event timelines and production schedules, outlining key milestones, deadlines, and deliverables.
  • Coordinate with all stakeholders to ensure alignment on timelines and execute tasks according to schedule.

Creative Direction:

  • Collaborate with creative teams to develop event branding, signage, collateral, and visual elements that enhance the attendee experience and reinforce the event theme.

Stakeholder Management:

  • Serve as the primary point of contact for clients, vendors, sponsors, and partners, maintaining effective communication and managing expectations.
  • Build and nurture relationships with key stakeholders to foster long-term partnerships and repeat business.

On-Site Management:

  • Oversee on-site event production, managing staff, volunteers, and vendors to ensure smooth event execution.
  • Address any issues or emergencies that arise during the event, implementing contingency plans as needed to mitigate risks.

Post-Event Evaluation:

  • Conduct post-event evaluations, gathering feedback from clients, attendees, and stakeholders to assess event success and identify areas for improvement.
  • Prepare post-event reports and recommendations for future events, documenting lessons learned and best practices.
