PLAION, Inc. is recruiting for an Operations Sales Coordinator who will work on logistical planning, timelines, approvals, and manufacturing. The Operations Sales Coordinator is an important role and will work closely with multiple internal and external partners to ensure a timely, accurate release of products.

 

The ideal candidate must be detail oriented, meticulous, organized, operations-focused, and able to manage multiple projects simultaneously with ongoing changes. It will take coordination across time zones, teams, and projects all at the same time both in person and virtually. The ability to keep detailed notes and records of progress and communicate ongoing changes will be crucial to the success of the person and the company.

 

This position will report to the Director of Operations and work closely with the Director of Sales Analytics. In this role the Operations Sales Coordinator will support both operations and sales, and this role will be crucial to keeping products flowing, inventory available, new releases on time and out the door to the correct locations with appropriate approvals.

 

As Operations Sales Coordinator, you will work directly with multiple departments across North America, Latin America and Europe to ensure timely deliveries and resolve roadblocks to facilitate a smooth lifecycle of our games on the market. The ideal person must feel comfortable in a fast-paced environment and has experience in operations and/or project management. Good communication and teamwork skills are crucial in this role as the Operations Sales Coordinator will work closely with all other departments including sales, analytics, marketing, and brand.

 

 



Responsibilities:

 

  • Assist with the manufacturing process of all video games published and distributed by PLAION, Inc. in North and Latin America
  • Monitor carrying inventory and place reorders as requested with SIEA, Microsoft and Nintendo as forecasted by the Sales department
  • Communicate BOL, tracking information, shipment summaries and delivery status, while managing logistical reporting structure of shipments internally and externally
  • Foster good working relationships with vendors and service providers
  • Communicate with internal teams to ensure project delivery, delays/changes and resolve roadblocks
  • Manage, communicate, and report the status of all shipped inventory to distro and retail
  • Assist Director of Operations in processing vendor invoices to ensure accurate Accounts Receivable and Accounts Payable
  • Process price protection memos, rebates and other product lifecycle management tasks with sales and sales administration
  • Manage office supplies and office equipment, and track other company properties in the office and remotely
  • Maintain internal and cross-departmental documentation for reference purposes
  • Assist with managing asset and packaging guidelines and approvals with Central PLAION team, First Party, and the ESRB
  • Other duties as assigned by management will also be included and part of the responsibilities



Desired Experience:

 

  • BA in Business Administration, Finance or Economics; or equivalent professional experience
  • At least 1 year of experience in operations or project coordination preferably in packaged goods, consumer electronics or video game industry
  • Proficiency in Microsoft Office, strong focus on Excel and SharePoint
  • Understanding of project management techniques - Gantt, CPM, Kanban, etc.
  • Familiarity working with CRM and ERP systems
  • Expected to learn other position-related systems on the job
  • Outstanding organizational competency with proven ability to handle multiple projects and responsibilities simultaneously
  • Self-starter with impeccable ability to create processes and procedures related to workflow and project management



Work Schedule/Location:


  • Expected on site at our office in Larkspur, CA
  • Over time and with training, some remote WFH is possible while maintaining accessibility to the office and daily demands
  • Ability to work on flexible schedule as the job demands to ensure timelines are met working across countries and time zones
