Position Overview: We’re seeking a dynamic Client Coordinator to join the team. This role is essential in providing clients with positive experiences and supporting daily operations of our growing company.
Responsibilities:
Client Reception:
- Greet clients with a warm and welcoming attitude
- Manage client waitlist, appointment, check-ins, and check outs to ensure seamless logistics and efficiency as Maeva continues to scale with back-to-back appointments
- Answer and direct incoming calls, emails, and inquiries and provide information about our providers, services, packages, and pricing
Client Experience:
- Ensure that client experience is exceptional from entry to exit, fostering a welcoming atmosphere
- Listen to and address client inquiries, concerns, and feedback professionally and promptly
- Give appropriate product and service information and recommendations
Operational & Administrative Support:
- Collaborate with the management team to ensure efficient day-to-day operations
- Maintain and update client records, appointment schedules, and client databases
- Assist with office supply management and restocking, and ensure a clean, organized front-of-house
Who you are:

- An excellent communicator with the ability to build rapport with clients
- Organized, attentive, and detail-oriented with a high degree of professionalism
- A proactive, adaptable problem-solver who reacts quickly in unexpected situations
- Have experience in a similar role, preferably within a spa, wellness center, or medical office
- Proficient in using office software and scheduling systems
Pay and Perks:
- Part time or Full Time Role
- $20-25/hr with benefits at Full Time
