Description
The Director of Registration and Records, reporting to the Executive Director of Enrollment Management, is responsible for planning, organizing, and managing the College's registration and records processes. This role includes interpreting and applying federal and state guidelines, supporting the college's degree audit process, ensuring transcript accuracy, and processing them in compliance with state and federal regulations. The Director also assists with submitting mandatory state and federal reports, including those for the National Student Clearinghouse and National Student Loan Data System. Additionally, the Director provides leadership for a student-centered registration experience, including SSC Circle, while overseeing Registration and Records, and the College-wide annual commencement. This role also serves as a liaison for special high school programs.
Examples of Duties
- Responsible for maintaining all student records, including compliance with federal and state regulations and local policies, and recommending revisions as appropriate. Develops and implements processes that support the Registration/Records.; consults with and advises College/district administration and faculty regarding state regulations and policies including records access policy and procedures, etc. while ensuring alignment with College mission, values, and goals.
- Manage the daily operations and provides oversight to student records management functions including maintenance of student records in the student information system.
- Accountable for ensuring the office runs smoothly and staff continues to provide superior customer service in responding to enrollment and registration inquiries, issuing student transcripts, class reinstatements and processing of military, foreign, etc. credits.
- Monitors the office's email address, assigning received inquiries to staff for research and processing, and ensuring a solutions-based approach in resolving and responding to inquiries.
- Troubleshoots problems and addresses and resolves student record disputes; approves changes to student records as needed.
- Manages transfer credit evaluation processes, working with staff, advisors, and faculty to ensure courses from other institutions are accurately and consistently articulated onto student records.
- Reviews all transfer credit and credit evaluation reports prepared by staff for accuracy, completeness, and determination of equivalences.
- Assists in responding to and resolving transcript evaluation appeals.
- Collaborates with faculty and Academic Services to ensure final grade submission.
- Participates in degree conferral process, identifying students eligible for degree conferral and completing degree audit and academic review for awarding of degree.
- Collects, analyzes and assists with the preparation of state and other reports as require including but not limited to the Clearinghouse and National Student Loan Data System reports.
- Participate in registration/records policy-making and shared governance committees of the College.
- Plans commencement activities including maintenance of graduation files, preparation of graduation list, degree mailings, and coordination of commencement ceremonies logistics. Assist with the college's degree audit process.
- Updates students on new and changing registration, records ands and procedures in a timely manner using multiple methods.
- Maintains accurate state and federal statistical reports including student permanent records, faculty grades and attendance records, registration and enrollment statistics and other records as assigned; assists with internal and external audits.
- Reviews the College catalog and academic calendar dates and makes necessary revisions; develops and updates publications in assigned areas. Prepares, monitors, and manages the annual budget for assigned departments. Supervises the implementation of established procedures for major activities of Registration & Records, SSC Circle, commencement and other designated areas in the absence of the Executive Director of Enrollment Management.

Typical Qualifications
- Bachelor's Degree from an accredited college or university
- Five years of work experience in student services within a college setting, preferably in enrollment related services and operations; admissions; registration or records.
- Knowledge and understanding of student information system (Colleague) to maintain student records.
- Excellent organizational and administrative skills.
- Strong analytical and problem-solving skills.
- Ability to work within a culturally diverse environment.
- Ability to exercise tact and diplomacy in handling sensitive situations.
- Excellent interpersonal and communication skills.
- Ability to work independently and within a team, to work efficiently and meet deadlines in a fast -paced, multi-task environment with minimal supervision.
- Strong ability to exercise reasonable judgement and maintain confidentiality.

PREFERRED QUALIFICATIONS:
- Master's Degree.
- Supervisory experience in student affairs/student services or related field.
