The National Fallen Firefighters Foundation (NFFF) is seeking a qualified and dedicated individual to fill the full-time position of an Office Assistant. The ideal candidate will possess strong interpersonal skills, excellent organizational abilities, and a passion for providing exceptional customer service. This position requires a commitment of approximately 24 hours per week, including paid holidays and the ability to work selected weekends, especially during Memorial Weekend activities. 

 

POSITION SUMMARY

The Office Assistant is responsible for providing administrative support to office staff, Memorial Park/Walk of Honor, assisting with the NFFF store sales and inventory, and ensuring a welcoming atmosphere for visitors and staff. The position requires a high level of professionalism, attention to detail, and the ability to multitask effectively.

RESPONSIBILITIES


Administrative Duties:

  • Greet and welcome visitors in a professional and courteous manner.
  • Answer and direct incoming calls.
  • Manage incoming and outgoing mail and packages.
  • Schedule and coordinate appointments.
  • Order and maintain office supplies for daily operations.
  • Provide general administrative support to divisions as needed


Memorial Park/Walk of Honor:

  • Responsible for the administrative functions ensuring well-organized operations and timely task completion.
  • Support Walk of Honor purchases by handling brick transactions, addressing participant inquiries, and ensuring a positive overall experience for all involved
  • Collaborate with the Development team to gather data, prepare certificates, and assist with various project elements as needed.
  • Plan and coordinate on-campus events related to the Walk of Honor, ensuring successful execution and engaging experiences for participants.
  • Conduct tours of the Chapel and Memorial grounds, providing visitors with meaningful insights and a memorable experience.

NFFF Store Coordinator Duties:

  • Coordinate the day-to-day operations of the NFFF store.
  • Process customer transactions.
  • Assist customers with product selection and inquiries.
  • Merchandise and display products effectively.
  • Support the vendor with the online inventory and fulfilling in-store orders.
  • Maintain a clean and organized store environment.


Minimum Qualifications

  • High school diploma or equivalent.
  • Previous experience in customer service preferred.
  • Strong interpersonal and communication skills.
  • Proficiency in computer software applications (e.g., Microsoft Office Suite).
  • Ability to work independently and as part of a team.
  • Excellent organizational and time management skills.
  • Attention to detail and accuracy.
  • Willingness to work selected weekends, especially during Memorial Weekend activities.
