Seeking a dynamic team player to update and maintain our database along with providing administrative support and clerical assistance to our sales & services department. Generates monthly, quarterly and annual reports by established deadlines. A minimum of two years of experience along with high proficiency in Microsoft Word, Excel, Outlook, PowerPoint and Adobe Acrobat. Knowledge of Customer Relationship Management systems is required.

Sales & Services Administrative Assistant

 

Purpose of Job:

To assist Sales and Services in administration, clerical and information system needs

 

Job Responsibilities:

1)     Input, update and maintain all assigned CVB databases into Simpleview including the following:

·      Dayton/Montgomery County Meeting Sales, Tour & Travel

·      Dayton/Montgomery County Hotels/Motels

·      Dayton/Montgomery County Transportation

·      Dayton/Montgomery County Sports and Meeting Venues

2)     Along with the Director of Sales & Services, key administrator for Simpleview CRM and Cvent

3)     Handle technical issues and tickets related to CRM; continuously troubleshoot CRM to improve data quality

4)     Provide CRM and software assistance and training for staff as needed

5)     Maintain digital and hard copies of all sales and services reports

6)     Coordinate all necessary information for Sales Meetings, EEI Meetings

7)     Create digital and printed bid books upon request by sales staff, handle compiling and mailing CVB tradeshow booth for sales managers to ship to show destinations

8)     Assist Sales and Services and Marketing departments with mailings and/or email blasts (postage, labels, direct mails-pre/post tradeshow, etc.)

9)     Secure venue and meeting details for the monthly Hospitality Meeting; send invites, respond to RSVPs, take attendance, take minutes & distribute

10) Generate all month end, quarterly, merit documentation, and annual reports by the assigned deadlines

11) Generate monthly lead log & PACE report by assigned deadlines

12) Assist Director of Sales & Services with any additional Simpleview generated reports & database management

13) Assist Director of Sales & Services & Marketing Department with compiling data for marketing plan

14) Act as primary backup and support for Convention Services Manager.

15) Request group room pick-up information from hotels, record in CRM

16) Support for Executive Assistant & Visitor Information Specialist as needed; primary backup for Visitor Information Center phone coverage for all breaks-(2) per day & lunch

17) All other clerical duties (i.e. filing, copying, word processing, etc.)

 

 

 

Job Requirements

1)     Proficient in oral and written communication skills

2)     Computer-proficient knowledge of Outlook, Microsoft Word, Power Point, Excel, Adobe Acrobat, and CRM administration

3)     Prior experience in administrative assistant capacity

4)     Must be a team player

5)     Proficient proof-reading skills

6)     Operation of binding machine, copier and fax machines (on-site training to be provided)

7)     Ability to travel by air, drive a vehicle and maintain a valid driver’s license throughout employment
