Job Description:


The primary responsibility of the Resource Manager is to identify and manage resourcing needs (particularly across creative departments) for all potential and assigned projects. This position requires that the individual be the liaison between Project Management and team leads across Account, Creative, Technology, Strategy, Graphic Services, UX, Medical Editing, and Regulatory Operations as it relates to resourcing across all deliverables. The Resource Manager also works directly with Talent Acquisition and HR to facilitate appropriate staffing on projects across the agency based on aggregate understanding of the project requirements. The Resource Manager must also ensure that project resourcing is managed in order to assure timely delivery and must communicate to appropriate project managers resourcing issues that may impact scheduled deadlines.


Responsibilities:


Evaluate data in resource management tool to understand workload for full time and freelance staff across all departments, including Creative, Medical Editing, Regulatory Operations; Partner with Project Management to identify and solve resource challenges to ensure all projects are properly staffed to meet client deadlines


Act as point of contact for resource booking confirmation, conflict resolution, and development of solutions in support of business goals and that is aligned to office finances


Manage and resolves resource booking conflicts; understands when to leverage freelance and/or offshore support to ensure client deliverables and executed on time and on budget


Run weekly resource meeting and facilitate resourcing issues/conflict resolution with Project


Management and appropriate department heads


Manage resourcing forecast reports for all departments based on input from weekly meetings


Work with Department Heads to identify appropriate resource requirements for each account and project


Maintain constant knowledge of current and upcoming project and business development activities as they relate to resourcing


Monitor day-to-day project activities and resourcing, identifying potential instances of under-utilization and actively work with department leads to address and solve those issues.


Receive, analyze and report on weekly utilization reports to department leads


Identifies need for freelance talent and works with Talent Acquisition to staff accordingly.


Recommend process improvements for Resource Management


Responsible for managing overall utilization


Work to resolve any issues regarding under or over allocations of current staff members.


Qualifications:


5+ years project management or resource management experience in advertising agency; health agency a plus

Experience working with SmartSheets a must

Experience working within a workflow operational tool, such as Screendragon or Workfront a must

Bachelor’s degree required

Proficiency in MS office applications including Microsoft excel

Assertive conflict-resolution and problem-solving skills

Clear and concise communication in both written and verbal form

Highly detail oriented and able to work autonomously

Ability to manage multiple tasks and tight deadlines with confidence and ease
