Position: Legal Billing Specialist

Location: Lake Success, NY

Type: Full Time

Rate: $50k to $58k/Per Annum

Job Description:

We are in search of a seasoned Legal Billing Specialist to augment our Client's team. The ideal candidate will possess proficiency in reviewing, editing, and generating client invoices for designated billing attorneys. Additionally, they will be tasked with overseeing client accounts receivable and serving as the intermediary between attorneys and clients. This role demands close collaboration with diverse business professionals to ensure accurate and prompt invoice production.


Responsibilities:

  • Address billing inquiries from firm employees and clients promptly.
  • Manage attorney billing responsibilities, including client billing and collection activities, in a timely manner.
  • Collaborate with various business professionals to ensure prompt billing and collection.
  • Facilitate conflict checks, open new client matters, and seek electronic approvals as required.
  • Coordinate with the business office to resolve unpaid invoices.
  • Execute tasks effectively within deadlines and under pressure.
  • Reconcile accounts receivable ledger to ensure accurate and complete payments posting.
  • Investigate and resolve billing discrepancies or disputes.
  • Assist the billing department in generating and distributing prebills to relevant departments.
  • Aid in editing and finalizing prebills.
  • Utilize third-party billing websites when necessary.
  • Review and refine prebills before sending them to clients.
  • Undertake any other related ad-hoc projects.


Requirements:

  • 3-5 years of experience as a billing specialist or in a related role within a law firm environment.
  • Demonstrated ability to work independently, flexibly, and prioritize tasks effectively.
  • Proficiency in Microsoft Excel and accounting software (e.g., QuickBooks).
  • Experience with Centerbase or a similar legal billing platform.
  • Collaborative demeanor with a proactive attitude and transparent communication skills.
  • Comfortable engaging with professionals at all levels, including senior management, in a dynamic setting.
  • Proficient and accurate data entry skills are imperative.
  • Ability to manage multiple tasks concurrently and prioritize accordingly.
  • Exceptional written and verbal communication abilities.
  • Strong attention to detail and organizational skills.
  • Aptitude for maintaining confidentiality and handling sensitive information professionally.
