Public Service Programs CoordinatorThe Public Service Programs Coordinator plays a key role in advancing the Leo T. McCarthy Center's civic engagement and public service programs portfolio, which operates at the local, state, and national levels. This position supports the coordination and execution of flagship fellowship programsincluding McCarthy Fellows in San Francisco, Sacramento, and Washington, D.C.--and the USFVotes voter engagement initiative, which is nationally recognized through partnerships with the Students Learn Students Vote Coalition, Vote Everywhere, Andrew Goodman Foundation, and the National Study of Learning, Voting, and Engagement. These programs place USF students in policy internships with agencies, legislative offices, and advocacy organizations, and regularly interact with government officials, community leaders, and faculty. Additionally, this role will support youth serving programs at the McCarthy Center as needed. The coordinator will take the lead on developing an outreach plan and materials; conduct recruitment, review of all public services programs, and support selection of students for each program; provide ongoing advising and guidance for students in the programs; liaise with collaborators and program stakeholders. The coordinator will support facilitation of assessment of program outcomes, ensuring fidelity to the shared vision and mission of the programs; and create systems and templates to sustain the programs into the future. They are responsible for implementing cross-campus visibility strategies, coordinating communications, and contributing to the delivery of professional development content. This role requires strong project management skills, relationship-building across diverse communities, and the ability to serve as a public representative of the Center. The coordinator is expected to exercise sound independent judgment, particularly in student advising, recruitment, and operational decisions, while collaborating with the Director on curricular elements, policy alignment, and stakeholder engagement to fulfill the McCarthy Center's mission to educate leaders dedicated to ethical public service and the common good. This position is funded for two years and renewable dependent upon funding.Key Responsibilities:Program Coordination and Implementation (35%)Work with stakeholders to plan and implement the programs and activities of USFVotes and public service programs including the McCarthy Fellows in San Francisco, Sacramento, and Washington, D.C.Support Director in designing curriculum, organizing and facilitating learning activities and conducting assessment which includes reflection-based learning activities and workshops.Coordinate with internal and external stakeholders including faculty, city and state government offices, nonprofit partners, and national civic engagement networks.Support growth and program developmentMaintain program infrastructure including calendars, documentation systems, and collaborative workflows to ensure consistency and impact across offerings.In close collaboration with the director, coordinate scheduling, communication, and execution of program activities, ensuring that processes and procedures for program implementation are compliant with USF, State and Federal regulations.Schedule and organize meetings/events and maintain agendas, ensuring details, budget management meet program objectives.Maintain up-to-date records, reports, and communications to support internal and external stakeholders.Track timelines and deliverables, anticipate barriers, and develop solutions in real-time.Student Recruitment, Selection, and Advising Outreach (35%)Design and execute multi-platform outreach campaigns, including tabling, presentations, and digital strategies to increase program visibility.In consultation with program stakeholders, conduct recruitment, implement student recruitment campaigns for all public service and civic engagement programs, including creating outreach materials, coordinating information sessions, and managing application systems.Lead application review processes for programs, convene committees, select and notify participants, and administratively onboard participants, including managing applicant databases and advising on final decision-making.Cultivate relationships with faculty, student organizations, and campus departments to increase visibility, participation and engagement.Problem-solve any student-related issues while collaborating with appropriate stakeholders.Meet regularly with students to provide proactive advising, training, and support to ensure success in program(s) which includes mentorship, goal-setting support, and professional development coaching throughout their placements.Participate and represent the Center at already established campus wide fairs (Information Sessions, Involvement Fair, Welcome Back Fest, etc.) and events to recruit for programs.Serve as a first point of contact in advisement with the Director for student applicants and participants, helping guide them through selection, onboarding, and program expectations while having strong decision-making skills. This includes providing program information and details, clarifying expectations and responsibilities, setting and enforcing deadlines, responding to questions, including concerns and grievances from students.Call upon appropriate stakeholders, if necessary, to problem-solve any student-related issues.Event Planning and Communications (20%)Plan and execute program events including program orientations, public forums, civic engagement workshops, voter education events, and fellowship showcases. This includes hosting national guests and representing USF in the field.Write and develop compelling materials such as newsletters, program briefs, and marketing collateral that highlight student stories and impact.Coordinate with LTMC staff and university communications to amplify the McCarthy Center's public profile which includes creating content for websites, promotional materials in coordination with university marketing and communications.General Administrative and Operational Support (5%)Track program budgets, process reimbursements, and support expense reconciliation in partnership with the Director to monitor budget and make recommendations on budget changesMaintain accurate records of student participation, program impact, and assessment data.Lead the coordination of meetings, materials, and resources for stakeholdersCreate program-related reports and/or proposalsEnsure programs are aligned with and accountable to policies, protocols, and practices of all institutional collaboratorsContribute to internal grant and donor reports through data collection and storytelling.Develop and maintain program webpage content.Other Duties as Assigned (5%)Participate in McCarthy Center staff meetings and retreats.Contribute to organizational planning and collaborative team efforts.Provide occasional evening or weekend support for programs or events.Support other programs as needed.Minimum Qualifications:Bachelor's degree required.24 years of experience coordinating educational or public service programs in higher education, nonprofit, or civic settings.Demonstrated ability to independently manage projects, events, and communications across multiple stakeholdersDemonstrated commitment to civic engagement, public service, and equity.Demonstrate critical thinking, planning, problem-solving and interpretive skills to analyze situations, define problems, identify concerns, develop and propose solutions.Demonstrate cultural humility, especially when working with constituencies from diverse backgrounds, identities, and experiences and uphold community engaged learning.Establish and maintain collaborative relationships with program stakeholders, communicate effectively and efficiently, consider multiple perspectives, and respect the contributions of all collaboratorsDemonstrate openness to learning and professional developmentExcellent written, verbal, and interpersonal communication skills.Strong organizational and project management skills; ability to handle multiple tasks simultaneously and meet deadlines.Experience with event planning, student advising, and working with diverse populations.Proficiency in Google Suite, Microsoft Office, and basic design/marketing tools (e.g., Canva, Adobe).Familiarity with higher education civic engagement, community partnerships, or government/public policy.Experience with voter engagement campaigns, supporting voter engagement efforts, student democracy initiatives, or policy or government internships.Knowledge of the San Francisco Bay Area policy and nonprofit ecosystem.Comfort working in a fast-paced, collaborative environment with evolving priorities.Full-Time/Part-Time: Full timePay Rate: SalarySalary Range: $67,000 - $70,000 annualized, commensurate with experience
