The Legal Administrative Assistant will provide comprehensive administrative and secretarial support to attorneys, specializing in healthcare law. Responsibilities will include, but are not limited to:


Administrative Support

  • Manage attorney calendars, including scheduling appointments, meetings, and court dates.
  • Maintain organized electronic and physical filing systems.
  • Input time entries accurately and in a timely manner.
  • Process check requests and expense reimbursements for attorneys.
  • Arrange travel accommodations and prepare travel itineraries as needed.
  • Answer and screen phone calls, taking messages and directing inquiries as appropriate.
  • Review and manage email communications.
  • Handle incoming and outgoing mail, including processing, and distributing as needed.


Practice-specific Duties & Document Preparation

  • Maintain Legal Tracker system by updating information and generating quarterly reports.
  • Prepare and submit panel submissions for healthcare providers.
  • Draft and proofread correspondence, legal documents, pleadings, motions, discovery petitions and other materials; update discovery documents and pleadings as needed.
  • Assist with healthcare contractual work, licensure applications, and related documentation.
  • Coordinate publications of notices of settlement; assist in processing settlement documents for healthcare cases.
  • Manage administrative tasks for FBA Healthcare Section, including preparing transcripts and minutes for monthly board meetings.
  • Support projects involving service agreements, company structuring, physician employment agreements, and contracts.


Qualifications:

  • Bachelor's degree or equivalent experience required.
  • Prior experience as a legal secretary, preferably in healthcare or medical malpractice practice areas.
  • Knowledge of legal procedures and terminology related to healthcare law is preferred.
  • Proficiency in Microsoft Office suite (Word, Excel, Outlook) and legal software applications.
  • Excellent written and verbal communication skills, including a professional telephone manner.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Attention to detail and accuracy in all work performed.
  • Ability to work both independently and collaboratively as part of a team.
  • Willingness to learn and adapt to new tasks and responsibilities as needed.
