The Administrator will also handle patent prosecution-related tasks and support client needs. This role can sit in San Francisco, Santa Monica, Silicon Valley, or Seattle and will work remotely most days, but must be available to report to an office location as needed.


Responsibilities:

  • Track and record both billable and non-billable hours; ensure timely submission in Intapp.
  • Stay updated on patent laws and regulations.
  • Follow firms IP workflow procedures to deliver accurate and timely work.
  • Draft, prepare, and proofread various communications, including emails and documents.
  • Assist with drafting and filing patent-related documents with the U.S. Patent & Trademark Office (PTO), such as office action amendments, continuation applications, and post-grant proceedings.
  • Format and maintain patent specifications according to MPEP standards.
  • Serve as an expert on client-specific filing and reporting needs, using client extranets and secure data sites.
  • Manage docket calendars, calculate and review docket dates, and ensure compliance with deadlines.
  • Prepare agendas for client meetings and maintain both electronic and paper files.
  • Provide backup support to team members as needed and be flexible with overtime.


Skills and Qualifications:

  • 4+ years of relevant experience in patent prosecution, preferably within a law firm.
  • Proficiency with PTO platforms (EFS, PAIR, EPAS, WIPO, PTO Financial Manager).
  • In-depth knowledge of U.S. patents and experience with complex IDSs.
  • Strong familiarity with IP docketing systems.
  • Ability to multitask in a fast-paced, deadline-driven environment.
  • Excellent proofreading, typing, written, and verbal communication skills.
  • Strong client service skills with the ability to interact effectively with various stakeholders.
  • Proficiency in MS Office and confidentiality in handling sensitive information.
