Accounting Specialist / Administrative Assistant to C-suite

Redlands Farm Holding (DBA Fresh Press Farms) is establishing a strong retail presence around the USA, and building a support team of excellence based in Jacksonville, FL. The Accounting Specialist /Administrative Assistant to the C-suite will be primarily responsible for the accounting and preparation of the financial statements of the company and assist with various administrative and organizational tasks. The position reports to the Director of Finance and offers one-on-one working relationships with the CEO.

 

 

Job description: (the list below is not exhaustive)

 

-         Responsible for Account payable

o   Collect information and documentation for new vendor set-up (new vendor form, W9 and banking instructions) and maintain vendor database and files

o   Collect invoices and invoice supports from various sources (email, online platforms, mail)

o   Verify and input invoices and expense reports in the accounting software

o   Ensure timely payment of invoices

o   Reconcile vendor accounts monthly

o   Prepare 1099 and 1042 tax reporting on a yearly basis

 

-         Responsible for Deductions and claims from distributors

o   Collect deductions and claims from distributors and gather supporting documents

o   When applicable, liaise back to the plant to understand the reason for specific deductions

o   Dispute the deduction if needed and ensure follow up until resolution

o   Escalate unresolved deductions and claims to upper management

 

-         Account Receivable

o   Review sales orders in the ERP (Odoo), ensure all deliveries are recorded

o   Prepare draft invoices in the accounting software

o   Send the invoice to the customer via EDI

o   Prepare monthly reconciliations of open accounts receivable

o   Flag collection issues to Director of Finance

 

-         Prepare and file monthly sales tax reports to the different states (to date – Georgia)

 

-         Monthly closing

o   Prepare sales details from Shopify and Amazon

o   Complete month-end close journals (including preparation of journal entries, accruals and account reconciliations)

o   Prepare bank reconciliations

o   Prepare fixed assets month-end schedule, including additions, disposals, running depreciation and completing reconciliations

o   Prepare month/year end balance sheet schedules


-         Ensure that accounting/spending internal policies and procedures are understood and adhered


-         Assist during year-end financial audit


-         Assist with the ERP (Odoo) implementation, monitor data accuracy, and supervise data entry



Executive support:

o Complete a broad variety of administrative tasks for the CEO including managing an active calendar of appointments; completing expense reports; arranging complex and detailed travel plans, itineraries, and agendas; and compiling documents for travel-related meetings.

o   Provide a bridge for smooth communication between the President's office and internal departments.

o   Participate as an adjunct member of the Executive Team including assisting in scheduling meetings and attending all meetings.

The candidate must be creative and enjoy working within a small, entrepreneurial environment that is mission-driven, results-driven. The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities. The candidate is a self-starter who has the ability to work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion.

 

Desired qualifications

o   BS in accounting or higher with 3+ years of relevant experience

o   Strong proficiency with Microsoft Excel is required, as well as PowerPoint

o   Experience with ERP environment is a plus (Training will be provided on Odoo)
