Administrative Intake Specialist

We are seeking an Administrative Intake Specialist to join our growing team. This role is primarily focused on managing administrative tasks related to client engagement and the onboarding of new attorneys. Key responsibilities include data and document management, reviewing client and matter information, and enforcing file opening policies and procedures.


*This position is Hybrid role, but candidates must reside in a state where we have an office*



The ideal candidate will have excellent written and verbal communication skills and the ability to build strong relationships with both internal and external stakeholders. A positive, proactive attitude and strong time management skills are essential for success in this role.


Shift: Monday- Friday

Hours: 8 am-5 pm

Pay: 50k-54k


Duties and Responsibilities:

  • Draft and send engagement letters to clients.
  • Track all engagement letters for countersignatures.
  • Assist in preparing Excel spreadsheets of client and matter information for conflict checks and entry of files for new attorneys.
  • Perform conflict searches and evaluate the results for conflicts of interest.
  • Enter client and matter information for new attorneys.
  • Save various documents and correspondence in the electronic document management system.
  • Provide backup support for the Client Engagement team, including reviewing client/matter submissions and ensuring compliance with policies and procedures in collaboration with Legal Administrative Assistants, Attorneys, and firm management.

Qualifications:

  • A Bachelor's degree is preferred, or 4+ years of experience in an office/administrative role.
  • Proficiency with Microsoft Office applications, including Word, Excel, and Outlook.
  • Demonstrated customer service skills.
  • Excellent communication and interpersonal skills.
  • Comfortable working with tight deadlines.
  • Strong time management, multitasking, prioritization, problem-solving, and analytical skills.
  • Experience in a law firm and knowledge of conflict of interest interpretation are highly preferred.
  • Familiarity with Intapp, DocuSign, Adobe Sign, and NetDocuments is desired.
