Position Overview

This position will support the ongoing coordination of integrated activities across the School of Social Work’s priorities and initiatives for the MSW program. Duties include a variety of administrative, logistical, operational, and technical tasks in support of the program’s mission.

Duties and responsibilities include, but are not limited to:

Managing program core functions:
Respond to student, faculty, and staff requests and issues as appropriate for their role. Prepare purchase requests, supplies, and reimbursement per university and SSW policies for the MSW Program Directors. Program assessment support, includes collecting assessment data and tracking end of the semester grade entry by instructors. Transcribe MSW committee meeting minutes. Maintain MSW program email account, event logistics, and calendar. Maintain MSW programmatic Google Drive (e.g., MSW program committee minutes, course equivalency database for waivers and transfers, course staffing spreadsheet, course incomplete tracker spreadsheet, SAF tracking spreadsheet, Virginia licensing form tracking sheet, course books spreadsheet, ensure all faculty are added and updates are made to the HR spreadsheet). Maintain and manage the process for policy-related documentation, including all Special Action Forms (SAF), Virginia Licensing Forms, Change of Grade, Incompletes, Independent Studies, Program Format Changes, Course Waivers, and Transfers, etc. Collaborates with the MSW Program Director to review Registration Difficulty Forms and issue Overrides each semester. Monitor the budget with the MSW Program Director and meet with the Finance office monthly to review the program budget. Leads creation and distribution of MSW Program newsletter to students and faculty. Communicates MSW events and opportunities to relevant stakeholders (e.g. adding events to Resource Wire, student-facing Opportunity Share document, email blasts to students and faculty, etc). Generate enrollment reports to monitor student and staffing needs.
Course Management:
Create, distribute, and organize Community Embedded Faculty teaching requests and confirmations for review by MSW Program Director for course staffing each semester. Manage all course scheduling processes in Banner, including submitting changes to course schedule, verifying internal database matches what students see in Banner, and monitoring student distribution across sections during registration. Liaison between MSW Program, textbook publishers, and VCU bookstore in the course adoption process. Facilitate onboarding process for teaching faculty (connecting new hires to HR, and securing books, syllabi, and room logistics). Maintain an up to date syllabus archive each semester by collecting blueprint syllabi and faculty syllabi. Coordinate mid semester course evaluations. Maintain updated course competencies for use by faculty, program, and in assessment and evaluation processes.
School of Social Work Administrative Support
Support the Office of Student Success by setting up for events and assisting with MSW check-in for December and May graduations. Cross-train and serve as a back-up to other academic program coordinators. Other duties as assigned
