Role

Range 3 is distinguished by the introduction of management responsibility and accountability for the delivery of professional support services. The role will usually impact beyond the work area or professional field. It seeks to gain cooperation of other staff members or members of the school community to achieve specific objectives, such as in school administration, operations or educational programs.

Direction on targets and goals is provided but the position will have some degree of latitude in determining how they are achieved. This latitude will generally be limited by standard procedures and school policy. Deviation from standard procedures and school policy will require guidance and direction from senior management.

The provision of business management responsibilities becomes a feature at range 3. Management of staff to achieve the expected outcomes is a key responsibility. Staff management issues will be resolved with minimal reference to senior management, although guidance will be required in more complex cases. Senior management will be provided with timely reports and advice, although this will generally be confined to matters relating to the immediate work area, service provision or educational program and is unlikely to impact substantially on whole of school operations.

This is the minimum range for positions that carry a mandatory qualification requirement of not less than four years. Professional student support positions become a feature at range 3 ( therapists, psychologists) where standard professional services are delivered. Professional support and guidance will be close at hand and deviation from standard procedures and school policy will require guidance and direction from senior management.

An education support class position supports the educational services being provided to students, but must not include duties of teaching as defined in clause of the Education and Training Reform Act 2006 (Vic) or its successor. Supervision of students cannot be required except where it is an integral part of the employee¿s position or involves supervision of students individually or in small groups, in controlled circumstances, where the responsibility for students remains clearly with a teacher.

Responsibilities

Reception and Administration

Build positive relationships with students, staff members, families and visitors by providing a warm, welcoming, knowledgeable and capable first point of contact for all who come to our school. Manage the reception and administration area to ensure: High levels of efficiency in distributing school resources and materials to where they are needed A deep sense of pride in the physical presentation of our school and in particular the administration area The efficient management of lost property so that (wherever possible) items are returned to their owners on the same day and that the above sense of pride is always maintained Perform reception and administrative duties, including but not limited to phone and front office enquiries and the signing in of visitors to the school Develop and implement strategies to ensure effective administration procedures Support and coordinate the preparation of standard routine internal and external communication according to school procedures ( form letters, regular news feed posts on Compass to parents and carers, staff members, etc.) Ensure the provision of a range of administrative support functions for the Principal class, Business Manager, leadership team, and teaching staff. Provide required level of administrative support for school events, functions and projects. Lead the scheduling, organisation of, and delivery of school photos.  Scheduling and minute taking at various meetings as required Process applications to State Schools Relief Process CSEF applications and maintain accurate records Maintain accurate records of student media permissions Maintain accurate records of access restrictions or other legal orders


CASES 21 and Compass

Prepare, manage, and complete CENSUS tasks twice a year. Prepare, manage, and complete CASES21 and Compass EOY admin tasks. Update student/family details on Cases21 regularly. Create, file, and maintain student records appropriately. Promptly, accurately and efficiently enter all relevant student and family data on CASES 21 Student Admin regarding student enrolments and transfers, change of student/family information


Attendance

Manage the administrative requirements of student attendance across the school, including:

Follow up phone calls for unexplained absences (same-day, then following days) Sending letters home to families in line with the school procedures to follow up on unexplained or unapproved absences Liaising with the principal class and student wellbeing teams to book attendance meetings with families as required Enter and review student absences in Compass Manage and follow-up on any unmarked rolls

Enrolment and Transition

Receive, and check for accuracy, all enrollment documentation and record data. Maintain accurate, up-to-date records on the Donnybrook Primary School Google Drive of all: Confirmed future enrolments Enrolment enquiries, at all year levels Book tours, liaise with prospective families and distribute information as required Lead the administration of all Year 6 to Year 7 transition applications and liaise with secondary schools as required Communicate transition information to the Principal, Business Manager and leadership team as required Send communication to all future foundation families as required Process and manage Exits and Suspensions in line with DE requirements. Accurately record, enter and check all student Visa codes against the online Department resources to ensure International Students are enrolled correctly.


Other

In consultation with the Business Manager, determine and manage work priorities within the school office and complete any other duties as requested by the Principal. Provide first aid to students, staff and visitors as the need arises

Location Profile

Donnybrook Primary School opened in January 2023 with 114 students. Our school is located in Donnybrook, 32 kilometres north of Melbourne. Planned for up to 525 local students, our current enrolment is 325 students across 15 classes from Foundation to Grade 6. We forecast an enrolment of well over 400 students for the beginning of the 2025 school year, with the school approaching 500 students before 2026. 

We are located in a new residential estate on an expansive hectare site, just a short walk from the popular Gumnut Park and Adventure Playground. Our school is surrounded by an engaged, supportive and rapidly growing community. Donnybrook Primary School is developing close ties to the local community, with strong support from local organisations and community services.

An administration building with a library, staff offices and amenities as well as specialist teaching areas for visual arts, science and food technology Two learning neighbourhood buildings with general purpose classrooms, and flexible and collaborative learning spaces A community hub building with a competition-grade gymnasium, canteen, music and performing arts space Outdoor hardcourts, a rectangular sporting field, landscaped gardens and playgrounds.

The school expects to receive our first relocatable buildings in late 2024 to accommodate growing enrolments for 2025 and beyond.
