HR Duties

Maintaining physical and digital personnel records like employment contracts and PTO requests Update internal databases with new hire information Create and distribute guidelines and FAQ documents about company policies Gather payroll data like bank accounts and working days Publish and remove job ads Schedule job interviews and contact candidates as needed Prepare reports and presentations on HR-related metrics like total number of hires by department Develop training and onboarding material Respond to employees questions about benefits (for example, number of vacation days theyre eligible for)

Administration duties:

Schedule meetings and appointments Organize the office layout and order stationery and equipment Maintain the office condition and arrange necessary repairs Partner with HR to update and maintain office policies as necessary Organize office operations and procedures Coordinate with IT department on all office equipment Ensure that all items are invoiced and paid on time Manage contract and price negotiations with office vendors, service providers and office lease Provide general support to visitors Assist in the onboarding process for new hires Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements) Liaise with facility management vendors, including cleaning, catering and security services Plan in-house or off-site activities, like parties, celebrations and conferences

Requirements and skills

Work experience as an HR & Admin Officer, HR Administrative Assistant or similar role

Familiarity with Human Resources Information Systems (HRIS) Basic knowledge of labor legislation Attend Singapore government related online courses from time to time, summarize into points for internal team sharing. Experience using spreadsheets Strong in Organizational skills Strong in verbal and written communication skills Honesty and positive, responsive and task oriented. BSc in Human Resources Management or relevant field Fluent in Written and Spoken Chinese language
