Benefits Support Specialist


Position Overview


The Benefits Support Specialist is an entry-level position designed for those with limited (or no) insurance experience. They may be assigned to a specific department or multiple departments to learn various aspects of the industry. Responsibilities may include account management, servicing, quoting, issuing, and processing insurance policies and related transactions, and Operations/administration duties such as covering the front desk/reception. They will learn to interact effectively with clients, provide concierge service, maintain records in the Agency Management System, read and interpret policies and coverage, evaluate risks, approach markets, and recommend appropriate solutions to produce a favorable outcome for the clients and agency. This position will prepare the team member for advancement when an opportunity becomes available.


Responsibilities:


Account Service/Processing:

  • Supports agency growth and retention efforts by completing service work for assigned accounts in conjunction with Account Executive/Manager and per agency service standards.
  • Supports agency sales philosophy by identifying coverage gaps and Opportunities for Account Rounding, Cross-selling, and Upselling.
  • Analyzes client needs, coverage forms, policies, and proposals to identify loss exposure and recommend appropriate coverage solutions.
  • Prepares proofs, summaries, schedules, censuses, and proposals as needed.
  • Processes incoming mail, e-mail, faxes, and phone calls, responding promptly and professionally.
  • Maintains client files within Agency Management System to ensure proper documentation by processing all policies, changes, invoices, proofs of insurance, and other service needs, attachments, and activities, per agency standards and procedures.
  • Review Benefit Guides.
  • Create Federal Notices.
  • Create Section 125 Plan/Invoices.
  • Review benefit Administration Installs/Renewals (like Employee Navigator).
  • CMS Filing Online.
  • Review Fully Insured Spreadsheets.
  • Audit Invoices/Plan Setup (New install or carrier move).
  • Process update salaries at renewal (where applicable).
  • Update billing screens in Epic once first invoice is generated.
  • Creates benefits video using Knovio.
  • Review and Process enrollment change forms for clients not enrolled on a benefit’s administrative platform.
  • Follows up on service requests to confirm processed accurately by carrier/vendor.
  • Provide ID cards to employees of group clients when requested.
  • Confirms that agency commission is received on policies at new business and renewal.


General:

  • Participates in continuing education courses for insurance, service, and sales skills.
  • Maintains current knowledge of underwriting requirements of carriers.
  • Keeps current with industry trends by reading appropriate journals and company bulletins.
  • Participates in special projects at management's request.
  • Other duties as assigned.


Required Qualifications:


  • High school graduate; Four-year college degree highly desirable (or comparable work experience)
  • Active or ability to obtain North Carolina Life & Health License; any related group benefits experience preferred
  • Proficient with technology and comfortable operating within a paperless environment; excellent automation skills, including Microsoft Windows, Outlook, Word, Excel, Agency Management System (Applied Epic), carrier proprietary systems, and softphone systems
  • Ability to carry out complex tasks with many concrete and abstract variables
  • Sets priorities and manages workflow to ensure efficient, timely, and accurate completion of tasks within a high pressured, fast-paced environment with significant disruptions
  • Excellent time management, strong organizational skills, and attention to detail
  • Interacts with others effectively by utilizing excellent communication skills, cooperating purposefully, and providing information and guidance as needed to achieve the business goals of the agency
  • A high degree of self-motivation and self-direction
  • Maintains a professional and effective relationship with clients, coworkers, carriers, vendors, and other business contacts
  • Understands the core virtues of teamwork and works wells within a team environment


Preferred Skills:


  • Extensive knowledge of relevant insurance coverage and markets, including sophisticated and less common products represented through MSIG
  • Thorough knowledge of brokerage operations including claims handling, procedures, rating, agency management systems and applicable insurance laws
  • Familiarity with risk assessment and risk management techniques
  • Experience using Agency Management System (Applied Epic strongly preferred)
