Duties

Serve as the principle office manager for the State Director's office, ensuring that the practices and procedures used by secretaries in subordinate offices are consistent with those of the Director. On own initiative, develop, implement, and recommend changes to administrative procedures and methods. Modify office procedures and practices to be used by secretaries in subordinate offices throughout the organization, and shift clerical staff in subordinate offices to take care of fluctuating workloads. Prepare and conduct periodic training sessions for all secretaries and/or administrative support personnel in subordinate offices to include training in all phases of secretarial work such as correspondence, telephone procedures, publications, directives, reports, and public relations.

Observe organizational activities in order to serve as a source of factual information and/or situations. Draft general correspondence in a concise manner for supervisor review and/or approval. Oversee travel, credit card, purchase acquisitions and other office needs for the State Director and Associate State Director. Plan and arrange meetings to include agendas, locations, and notifications to participants.

U.S. Citizenship required May be required to complete background investigation and drug screening. Meet Selective Service Registration Act requirement for males Must provide resume and supporting documents (See required documents). You cannot hold an active real estate license, nor can you have an interest or hold stocks in firms with interest in Federal Lands. If you are a new employee or supervisor in the Federal government, you will be required to complete a one-year probationary period. Selectee will be required to participate in the Direct Deposit Electronics Funds Transfer Program. You will be required to obtain and maintain a valid state driver's license. You may be required to travel overnight away from home up to 5 nights per month. You must obtain a government charge card for travel purposes.

MINIMUM QUALIFICATIONS:
To be considered minimally qualified for this position, you must demonstrate that you have the required specialized experience and/or education for the respective grade level in which you are applying:

Specialized Experience: Applicants must have one full year of specialized experience comparable in scope and responsibility to the GS-08 grade level in the Federal service (obtained either in the private or public sectors) performing the following: (1) ensuring the supervisor's day-to-day plan is followed based on commitments and/or workload; (2) coordinating and attending meetings/conferences to include agenda preparation and/or taking meeting notes; (3) reviewing and/or maintaining correspondence for proper format, grammar, and distribution; (4) preparing and/or conducting training on secretarial work such as telephone procedures, publications, reports, and public relations.

One year of specialized experience is equivalent to 12 months at 40 hours per week. Part-time hours are prorated. You will not receive any credit for experience that does not indicate exact hours per week or is listed as "varies".

Education

There is no substitution of education for experience at the grade level of this announcement.
