Serve as the principle office manager for the State Director's office, ensuring that the practices and procedures used by secretaries in subordinate offices are consistent with those of the Director. On own initiative, develop, implement, and recommend changes to administrative procedures and methods. Modify office procedures and practices to be used by secretaries in subordinate offices throughout the organization, and shift clerical staff in subordinate offices to take care of fluctuating workloads. Prepare and conduct periodic training sessions for all secretaries and/or administrative support personnel in subordinate offices to include training in all phases of secretarial work such as correspondence, telephone procedures, publications, directives, reports, and public relations.
Observe organizational activities in order to serve as a source of factual information and/or situations.
Draft general correspondence in a concise manner for supervisor review and/or approval.
Oversee travel, credit card, purchase acquisitions and other office needs for the State Director and Associate State Director.
Plan and arrange meetings to include agendas, locations, and notifications to participants.
