Medical Staff Services Specialist

Job Summary:
Under the direction of the Director of Medical Staff Services, coordinates internal and external activities of the Medical Staff including, but not limited to credentialing and privileging, medical staff meeting management, facilitating Focused Professional Practice Evaluations (proctoring) for initial and new clinical privilege requests. This position assists the Medical Staff Organization, Medical Staff Services Department & Medical Staff Committees in pursuit of their responsibilities as defined in the Medical Staff Bylaws, Rules & Regulations, Advanced Practice Professionals, and Organizational Manual of the Medical Staff.
Essential Responsibilities:
- Process credentialing, recredentialing and clinical privilege applications for health care provider applicants.
- Conduct thorough background investigation, research and primary source verification of all components of the applications and ensures files are current and noted in detail in the system of record.
- Set-up and maintain provider information in an online credentialing database system.
- Identify issues that require additional investigation and evaluation, validate discrepancies and ensure appropriate follow-up.
- Achieve productivity standards as determined by management.
- Track all expirable documents, including but not limited to license & certification for all providers to ensure timely renewals.
- Manage the functions required to comply with internal & external policies & procedures, accreditation standards, laws and CMS COPs, and any other applicable bodies.
- Coordinate Medical Staff Services and Committee meetings in all aspects, which includes but not limited to facilitating meeting arrangements, preparing agendas, taking and preparing minutes, and facilitating / performing follow-up actions necessary.
- Utilize credentialing database or other software to create and maintain efficient systems for filing; prepare reports and special projects.
- Develop/prepare reports for meetings, including the credentials report for presentation to the Credentials Committee, Medical Executive Committee and Board of Directors in a professional format.
- Prepare applications for membership / clinical privileges for review by Divisions, Departments and Credentials Committee.
- Ensure that all applications are reviewed and signed/dated as required.
- Maintain efficient logs and tickler systems to prompt timely processing of all applications for privileges and membership.
- Communicate findings of any suspected or noted adverse or unfavorable information to Director and medical staff leadership prior to being reviewed and forwarded for review & recommendation.
- Prepare and disseminate correspondence to applicants notifying them of board actions.
- Coordinate room reservations, setup including catering and audiovisual equipment as requested as assigned.
- Maintain accuracy and integrity of credential files, electronic files and appropriate databases.
- Perform general office functions (receives & welcomes guests, answering phone, providing office coverage, ordering/tracking supplies, correspondence and other tasks as assigned).
- Mail pickup, deliver, and sort daily.
- Provide assistance and administrative support to Director and medical staff leaders as needed.
- Assist medical staff as needed.
Basic Qualifications:
Experience
- N/A.
Education
- Associates degree or two (2) years of experience in a directly related field.
- High School Diploma or General Education Development (GED) required.
License, Certification, Registration
- Provider Credentialing Specialist Certificate within 60 months of hire OR Professional Medical Services Management Certificate within 60 months of hire.

- Commitment to continuous willingness to learn and grow in the office and credentialing field.
- Excellent organizational/time management skills, and proficiency in working with computerized databases required.
- Must exhibit a positive attitude.
- Detail oriented and able to multi-task and prioritize.
- Ability to function in a demanding environment by navigating multiple projects simultaneously, and effectively supporting a busy Medical Staff Office.
- Exceptional Customer Service Skills.
- Strong organizational, analytical and problem-solving skills.
- Ability to function independently with minimal direct supervision.
- Database management skills including querying, reporting, and document generation.
- Excellent oral, written, and interpersonal skills.
- Ability to spell and punctuate. Demonstrated minute taking skills.
- Ability to type 50 WPM.
- Proficiency with MS Office.
- Ability to adapt to changing schedules, deadlines and demands.
Preferred Qualifications:
- Minimum one (1) year of experience directly related to Medical Staff Services in a hospital or managed care credentialing setting.
- Bachelors degree preferred.
