Public Lands Community Events Coordinator

Job Description:

As an Events Coordinator for Salt Lake City Public Lands, you will play a vital role in planning, coordinating, and organizing events within the city's Public Lands properties. Reporting to the City Events Manager, you will collaborate closely with the manager to ensure the seamless execution of a wide range of events. Your responsibilities will include assisting in event planning, coordinating logistical details, and ensuring events are permitted safely, equitably, and efficiently. Incumbent provides customer support and service, including issuing responses to phone and in-person inquiries; and explains event related policies & information.

TYPICAL DUTIES:

Serves as primary staff support to Public Lands Events Manager. Interacts with individuals, community groups, businesses and event organizers of other special events, festivals and other downtown events.Collaborate with the Public Land’s Events Manager and assistant in developing event concepts, timelines, and logistical plans.Coordinates all aspects of event execution, including site selection, vendor coordination, resource allocation, budget, and launch.Work closely with internal and external partners to secure necessary permits and approvals for events, maintaining a focus on safety and compliance.Support the implementation of event marketing and promotional activities to attract diverse audiences and increase community engagement. Assists with webpage creation and design to effectively market each special event.Under direction of Events Manager, create marketing plans for each event and collaborate with internal organizations to generate social content for marketing purposes.Assists in the planning of Public Lands press events related to Public Lands projects and programs.Assists Public Lands’ volunteer initiatives, community programs, and community engagement strategies through relevant events, in collaboration with Community Partnerships & Engagement Coordinators.Participate in post-event evaluation to gather feedback, identify areas for improvement, and contribute to the enhancement of future events. Assist with planning, administering, and participating in customer research surveys and benchmarking to determine effectiveness in meeting public needs and to obtain suggestions for improving program operations.Assist in managing event budgets, tracking expenses, and ensuring cost-effective event planning.Foster strong relationships with internal teams, stakeholders, and external partners to ensure collaborative event planning and execution.Stay up to date with industry trends and best practices in event coordination and public engagement.Responsible for interpretation of federal, state, city or departmental policies and relaying that information to the public, department personnel. Communicates frequently with other city, county and state entities regarding special event concerns.May supervise volunteers, interns, seasonal, and part-time employees supporting public events. Instructs and provides technical assistance to support staff. Facilitates meetings with city departments, diverse groups from the community, other governmental agencies, and consultants to obtain further insight and information necessary to negotiate a balanced resolution to issues and achieve established project goals/objectives.Explores and develops creative concepts, ideas, plans, or processes to address project issues. Develops project parameters such as: project resources; time frames; funding options and budget requirements; staffing needs; and, methods, procedures and schedules for project implementation. Drives project progress to ensure tasks and applications follow agreed upon decision path and time frames. Keeps current on evolving public policy trends and industry benchmarks.Develops and monitors program and special project activities. Provides regular updates and reports to department and division management. May assist with monitoring compliance with contracts.May represent the department/division at community meetings, workshops, business, and other government meetings.Performs other duties as assigned.

MINIMUM QUALIFICATIONS:

Graduation from an accredited college or university with a bachelor’s degree in English, Marketing, Communications, or a closely related field plus two to four years of professional-level experience performing communications, marketing, and/or public relations. Education and experience may be substituted one for the other on a year-for-year basis.Creative ability to devise effective communication strategies.Knowledge and familiarity with information technology, basic design, and digital editing is essential.Excellent writing, editing, and proofreading skills.Effective oral and written communication skills; excellent interpersonal skills.Ability to resolve highly complex issues; develop and communicate new policies and procedures.Ability to work effectively with individuals from diverse backgrounds and at various levels of the organization.

DESIRED QUALIFICATIONS

Bachelor’s degree in Parks, Recreation & Tourism, Hospitality Management, Marketing, or other related field.Proven experience in event coordination, preferably in a public or outdoor setting.Strong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.A passion for sustainability, public lands, and community engagement is highly desirable.Proficiency in the use of personal computers for data tracking, monitoring, filing and retrieval. Ability to collect, analyze, interpret, and report statistical data via various computer software, including Word, Excel, Outlook.Must be well organized and able to prioritize tasks, meet deadlines, analyze problems, and recommend effective event planning options and solutions.Ability to travel between office and other worksites or locations when necessary.Possession of a valid state driver’s license or Utah driving privilege card.

WORKING CONDITIONS:

Generally comfortable working conditions requiring light physical effort. Intermittent sitting, standing, and walking. May require frequent travel between office and department or meeting location.Considerable exposure to stress as a result of human behavior and job requirements.
