The Development Associate is an entry-level member of the Massachusetts General Hospital Development Office, supporting the fundraising activities of the Home Base program. With guidance and training, the Associate provides administrative, fundraising and project support for the Managing Director of Home Base and other team members. The responsibilities include managing calendars, handling preparations for meetings and events, processing business expenses and making travel arrangements when needed. The Associate also tracks fundraising actions and activities in a donor database and prepares and distributes team reports.

As an Associate, you will work alongside fellow management support professionals, or "MSPs," who hold similar support roles in the department. Development MSPs are talented, dynamic and valued colleagues who serve as partners and collaborators in teams across the department. As a Mass General Development MSP, you will have access to a variety of networking, professional development and leadership opportunities.

We are looking for someone who is organized, collegial and can anticipate needs and complete tasks independently. In addition, the ideal candidate will thrive working collaboratively as part of a team and have excellent time management and organizational skills.

The Home Base Program

Home Base, a Red Sox Foundation and Massachusetts General Hospital Program, is dedicated to healing the invisible wounds for Veterans, Service Members and their Families through world-class clinical care, wellness, education and research. As a National Center of Excellence, Home Base operates the first and largest private-sector clinic in the nation devoted to healing invisible wounds such as post-traumatic stress, traumatic brain injury, anxiety, depression, co-occurring substance use disorder, military sexual trauma, family relationship challenges and other issues associated with service.

General MSP Responsibilities

With guidance from supervisor:

  • Manage the calendars of the Managing Director and other assigned individuals, keeping them free of scheduling conflicts.
  • Write and/or review correspondence and other written materials upon request and interpret information necessary to draft responses as needed.
  • Prepare and regularly update planning documents and progress reports.
  • Make travel arrangements according to requested specifications and prepare travel itineraries; help coordinate other aspects of business travel.
  • Assist with coordinating logistics, drafting agendas and other materials for review, taking notes and organizing follow up actions for meetings, events, donor visits, and presentations, troubleshooting issues as needed.

Fundraising Support

With guidance from supervisor:

  • Review weekly gift reports and prepare acknowledgement letters for donor and event sponsors for Home Base senior leadership.
  • Complete booking forms for gifts and pledges, create appeal codes and submit advanced approval forms for Signature events in a timely manner with thorough backup information.
  • Gather and record data/information and action items in a donor database, ensuring thorough documentation of fundraising activity and results.
  • Work closely with the team to track and inform about pending reports, engagements and other stewardship actions scheduled for donors and prospects.
  • Produce reports from Blackbaud CRM and fundraising summaries, as needed.
  • Research and compile data supporting major gift proposals and solicitations.

Marketing and Events

With guidance from supervisor:

  • Work closely with the Information Management team to pull lists and refine revenue tracking reports.
  • Assist with printing and compiling event collateral, signage and program books for events, as needed.
  • Support event-related activities, such as registration, travel arrangements, preparing itineraries, and coordinating post-event follow up (i.e. live appeal pledge donors, acknowledgement letters, thank you gifts) for signature events.
  • Manage Home Base merchandise, collateral and office supply inventory and work with appropriate vendors to reorder when necessary.
  • Develop and maintain invitation lists for other signature events.
  • Attend and assist with MGH special events.

Other General Responsibilities

  • Submit employee expenses and vendor payments.
  • Assist with daily administrative activities.
  • Maintain appropriate filing and follow-up systems in accordance with policies and procedures established by the Development Office.
  • Participate in professional development opportunities, including internal volunteer or job shadowing roles when appropriate.
  • Serve as a proactive team member and collaborate on identifying process enhancements.
  • Contribute to maintaining positive office morale, even in the face of high work volume and challenging periods.
  • Assist with recruitment activities as needed.
  • Take on other office-wide duties as needed.
  • Adhere to the mission, credo and standards of behavior of Mass General


Qualifications

This is an entry level position. Experience in a customer service or relationship-building role, preferred. A high school diploma is required.

In addition, the ideal candidate will possess the following skills, abilities and attitudes:

  • Excellent verbal and written communication skills.
  • Ability to prioritize tasks, handle multiple projects simultaneously and meet deadlines with minimal guidance.
  • Excellent attention to detail and customer service skills.
  • Organizational, time management, problem-solving and project management skills.
  • Proficiency on Microsoft Office applications, or the ability to learn them quickly.
  • Ability to troubleshoot and take appropriate steps to resolve issues.
  • Competency using video conferencing platforms (Zoom and Teams preferred).
  • Proficiency on data entry; and familiarity with Blackbaud CRM or Raiser's Edge, preferred.
