Main purpose of the job (summary of job, no more than 3 to 5 sentences)

The HR Operations Specialist serves as the front line of customer support within the HR Shared Service Center and collaborates closely with the assigned HR Business Partner(s) at each of the Sonepar USA operating companies. In addition to providing excellent customer service, this role serves as a primary lead in processing one or more of the Sonepar USA operating company's payroll and handles many of the day-to-day administrative tasks and inquiries, including HR, Benefits, and Payroll related transactions.

Key Accountabilities

List, in order of importance, the major responsibilities of this position and estimate the percentage of time spent on each responsibility (the main function of the job may or may not be the one where the most time is spent). This should not be an exhaustive task list but capture the major responsibilities of the job. Percentage of time for all responsibilities must add up to 100%, no duty should be less than 5%

Payroll:

Process Bi-Weekly, or Weekly Payroll to one or more operating companies (to include, but not limited to: loading and auditing hours, processing and paying commissions, calculating checks, expenses, tuition reimbursements, and special pay scenarios)Maintain and update time systemsCalculate, compute, export and audit employee timecardsPartner with Treasury and AP teams to send applicable payroll reports and monitor banking limitsEnter and process new hires, changes, and terminations (ensuring receipt of all completed documentation and paperwork, meets legal compliance)Process associates going out on leave (FMLA, STD, LOA) and monitoring deductions with the benefits teamResponsible for responding and entering wage withholdings

Provide Tier 1 HRSS customer supportResponse to unemployment inquiriesResponsible for employment verificationsResponding to state specific inquiries and completing state required reportsAct as a liaison with operating companies and process inter-company transfersIdentify and research problems

Training/SOP maintenance

Collaborates and works cross functionally with other HR team members and departmentsMaintains operating company fact sheets detailing nuances and policiesAssist and participate with training, presentations, communications, and policiesAssist with special projects and implementationsOpportunity to lead and/or participate in projects within and across departments

Administrative/Record Maintenance:

Responsible for scanning and archiving documents in personnel filesResponds and assists with audits multiple times a yearAd-hoc reporting

Minimum education requirements:

Must be able to work in a team environmentEffective communication and interpersonal skillsStrong PC skills, particularly MS Excel
