General Summary:

Under the supervision of the Client Administration Manager and in compliance with established policies and procedures, the Client Administrator I performs general administrative and clerical duties necessary to meet the needs of the department. The Administrator also assumes responsibility for other projects and duties based on the degree of knowledge of department operations and client expectations.

Essential Functions:

  • Develop an understanding of working Daily Audit reports.
  • Develop an understanding of working Monitored reports.
  • Develop an understanding of working within the SAP system.
  • Gather information pertaining to UCC's and with assistance prepare a recap.
  • Assists with the drafting of supporting paperwork with supervision.
  • Assists with the creation and execution of Corporate Guarantees with supervision.
  • Assists with the creating and executing of Indemnity Agreements with supervision.
  • Develop an understanding of drafting memos and proposals for new and existing clients.
  • Develop an understanding of Factorsoft and other daily specialized software.
  • Responsible for multiple daily correspondence with clients on changes pertaining to their customer base.
  • Gather, maintain, and distribute required paperwork and documents on assigned clients.
  • Assists with the creation and execution of Subordinations or Intercreditor Agreement implementation in regarding clients and other parties with supervision.
  • Responsible for maintaining client information in various systems.
  • Develop an understanding of UCC's and security interests.
  • Assist in reviewing files for all required documentation.
  • Assist in uploading files into Interconnect.
  • Assist in client Marketing requests as needed.
  • Responsible for the documentation and expiration of collateral filings and contracts.
  • Ensures contractual controls and stipulations are followed.
  • Create welcome packet for new clients and customers of new clients.
  • Handle the creating and distributing of company holiday schedule to associates and clients.
  • Ensures all supplies needed for associate department training packets are available.
  • Maintain departmental reports.
  • Initiation of initial funding of clients thru DocuSign, including but not limited to paying off lines of credit.
  • Compile items needed for internal and external audit and work with auditors as needed.
  • Other duties as assigned.

Working Conditions

  • Generally good, with little exposure to noise, extreme temperatures, dust or other adverse factors.
  • Considerable effort and eyestrain from continued checking on the accuracy of all work leaving the department.

Minimum Level of Preparation and Training

  • College degree preferred.
  • Five years' experience in customer service or other business-related position.

  • Excellent phone customer service skills
  • The ability to accomplish multiple objectives in a fast-paced environment.
  • Strong communication and team-work skills
  • The ability to develop knowledge of bank and IBS products, services, and processes.
  • The ability to develop a thorough understanding of IBS specific software.
  • The ability to operate basic office equipment.
  • Have advanced knowledge of the Microsoft Office Applications of Word, Excel, PowerPoint and Outlook
