ABOUT THE JOB

Graves Hospitality is excited to present an exciting career opportunity for a Sales & Marketing Coordinator at the Moxy Portland Downtown

The Sales Coordinator has direct oversight of the sales operation of the hotel. Working closely with the Sales Manager and General Manager this role has the primary responsibilities of reviewing, coordinating, and executing all group and meeting related functions; and facilitating communication between the client, the hotel, and the staff throughout the pre-planning, execution, and post-meeting phases.

WHAT YOU WILL DO

· Fulfill the hotel's #gotmoxy hospitality operating principle by planning or supporting sales activities, promotions and client events that bring to life the uniqueness of the hotel and celebration of the Moxy culture

· Serve as the point of contact for clients and communicate with them by phone and email to respond to questions and requests

· Arrange, coordinate and lead meetings, events, and site inspections with prospective clients with the Sales Manager/General Manager or on own in their absence

· Responsible for coordinating internally with the sales & operations teams

· Generating reports, preparing proposals, collecting payment and coordinating with clients and suppliers

· Create print collateral for the property including sales sheets, signage, menus and more

· Become a sales systems expert by managing profiles, rooming lists, customer databases, group blocks, reservations, and prospecting lists in the Amadeus and Fosse systems

· Become a Marriott systems expert by sending contracts, issuing points and other duties as assigned in the Marriott MGS system

· Assist sales team by maintaining group files, filing important documents, and ensuring deposits are collected per contract due dates

· Plan and execute social media activities using defined parameters that fulfill initiatives set forth by the executive team

· Create unique content for social media channels using Canva, Sprout Social and approved media

· Assist in the business development efforts

· Attend client related engagements including property tours, luncheons, happy hours and more

· Other duties as assigned by the General Manager or corporate leadership from Graves Hospitality

WHO YOU ARE

· Demonstrate strong on-going organizational skills in maintaining and documenting all pertinent information specific to group accounts ensuring all is documented in Amadeus

· Demonstrate expert knowledge of the hotel and competitors' facilities, services, amenities, and meeting space

· Build and maintain a trusting and transparent relationship with all stakeholders, specifically taking the time to develop rapport and respect with the individuals of your peer group

· Understand who the hotel is and what we aspire to be by following established practices and procedures and project the appropriate brand voice and image of each hotel to achieve objectives, public recognition and acceptance

· Work with integrity, confidentiality, and discretion

· Conduct oneself in a professional manner at all times to reflect the hotel's standards

· Remain highly organized, demonstrating the ability to plan multiple activities and meet deadlines with the ability to maintain a positive and professional demeanor at all times

WHAT YOU WILL NEED

· Minimum 1 year hotel experience or equivalent; sales or event experience preferred

· Experience working within a boutique-lifestyle hotel company preferred

· Experience with Amadeus, Cvent, One Source, FOSSE, Microsoft Office Suite, MRDW is strongly preferred

· Willingness to work a flexible schedule to meet client needs, which may include weekends or evenings

· Ability to manage multiple deadlines, sales activities, and events simultaneously

· Professional proficiency of the English language in reading, writing and verbal communication

· Stand, sit, or walk for an extended period or for an entire work shift

· Move, lift, carry, push, pull, and place objects weighing less than or equal to 40 pounds without assistance and objects weighing more than 75 pounds with assistance

· Ability to provide own transportation for various tasks, including client visits and running sales related errands

· Valid driver's license and a clean DMV record
