POSITION OVERVIEW.

The Conference Services Manager will be responsible for overseeing all aspects of conference planning and execution, from initial client consultation to post-event analysis. This role requires a blend of strategic thinking, project management, and exceptional customer service skills. The ideal candidate will have a proven record of accomplishment in event management, with a keen eye for detail and the ability to manage multiple tasks simultaneously.

JOB RESPONSIBILITIES

Manage the planning, coordination, and execution of conferences and related events, ensuring all client requirements are met and events run smoothly.
Act as the primary point of contact for clients, understanding their needs, and providing expert advice and support throughout the planning process.
Source and negotiate with vendors, including caterers, AV technicians, decorators, and other service providers, ensuring quality and cost-effectiveness.
Develop and manage event budgets, ensuring financial targets are met and expenses are controlled.
Oversee all logistical aspects, including venue setup, equipment setup, and on-site event management.
Supervise and coordinate the work of event staff and volunteers, ensuring high standards of service and professionalism.
Conduct post-event evaluations, gather feedback, and provide recommendations for continuous improvement.
PHYSICALPeriods of standing exceeding 50% of shifts are required.
Position is a very active position.
Ability to follow instructions, directions, and meet deadlines.
Ability to work alone in an established routine.
KNOWLEDGE & EXPERTISEMust have previous experience in Hospitality Management, Event Planning, Business Administration, or a related field.
Minimum of 2 years of experience in conference services or event management.
Proven experience in managing large-scale events and working with all types of clients.
Strong organizational and project management skills, with the ability to handle multiple tasks and deadlines.
Excellent interpersonal and communication skills, with a customer-focused attitude.
Proficiency in event management software and Microsoft Office Suite.
Ability to work flexible hours, including evenings and weekends, as needed.
