Williams College seeks a team member who will provide vital administrative, project management and analytic support to the Director of Class Engagement and the Alumni Fund and the Director of Alumni Fund Leadership Giving.

The Alumni Fund Specialist is part of a dynamic Office of Alumni Engagement: a team of creative, empathetic, and committed individuals who are dedicated to keeping alumni connected to each other and the college by uplifting and empowering all members of our diverse community. We are looking for someone with a can-do spirit who will thrive while working as part of a highly functioning team.

We are seeking candidates with strong communication, technology and analytical skills, attention to detail and administrative workflow, and with the ability to manage the support of multiple programs and priorities simultaneously.

As the project manager for the Alumni Fund, you would maintain the overall Alumni Fund calendar and solicitation schedule; oversee print and digital implementation of Alumni Fund-wide efforts; provide support for the cultivation, solicitation and stewardship for leadership donors; provide administrative support for our volunteer Alumni Fund Co-Chairs and Vice Chair Committee; analyze large data sets to identify patterns and trends in engagement; oversee the work of 4 student specialists; as well as provide in person and virtual event preparation and execution.

You would also contribute to the work of the Alumni Engagement Program Coordinators and collaboratively execute special projects and new initiatives with the Alumni Engagement office. You would also work closely and have significant collaboration with others across campus and College Relations, specifically Advancement Operations and Development.

This role is eligible to work remotely up to two days per week from locations in MA, CT, NY, or VT - after the initial training period & subject to review and revision as policy evolves.

Responsibilities:

Reporting to the Director of Alumni Fund Leadership Giving and Director of Class Engagement and the Alumni Fund, the Alumni Fund Specialist is a critical partner for the Alumni Fund program. The Alumni Fund Specialist will work in deep partnership with the Directors to support the work of the volunteer Alumni Fund Co-Chairs and Vice Chair Committee, and will collaborate closely with the Operations Manager of Alumni Engagement, Alumni Engagement Program Coordinators, Advancement Operations and Development.

Specific responsibilities will include (but are not limited to):
  • Serving as Alumni Fund administrative lead, maintaining centralized solicitation schedule and overall Alumni Fund calendar
  • Serving as primary contact and connection to coordinate Alumni Fund print and digital collateral for cultivation, solicitation and stewardship
  • Following through on special case gifts, such as tribute, leadership and anonymous
  • Supervising four student specialists
  • In person or virtual event and meeting preparation and execution
  • External communications and correspondence
  • Coordination and facilitation of internal communications
  • Attention to detail and data entry
  • Gathering and analyzing data and providing actionable insights
  • Collaborating with colleagues across College Relations and contribute to developing strategies for office-wide best practices for workflow
  • Managing information and processing data across a variety of platforms
Qualifications:
  • Bachelor's degree or equivalent combination of education and experience
  • Organizational and problem solving skills with an ability to prioritize and execute multiple competing projects and tasks
  • Excellent oral and written communication skills; including email correspondence and proofreading
  • Ability to work effectively with students, staff, alumni, and stakeholders from diverse backgrounds
  • Comfort in an environment where most work is done electronically, with interest in learning new systems and platforms
  • Experience with analytical, statistical and programming skills to collect, analyze and interpret large data sets
Application review will begin immediately, and will continue until the position is filled. Pay range is from $24 to $28 per hour, commensurate with experience.
