Position: Office Assitant II
Reports to: Plant Controller

Hours: Monday-Friday, 8:00am -5:00pm PST
Wage Scale: $ $25.00

Job Summary:

Performs receptionist and general clerical responsibilities, which may include processing of payroll, accounts payable, and daily sales. Also performs support duties which may include the documentation and transmission of shipping data and raw material receipts. Assists employees and vendors with questions and interacts with plant supervisors in performing other office duties as requested. Works from general supervision on routine duties with standard policies and procedures. Refers problems and questions to supervisor.

What you'll be contributing:

  • Prepares invoices for computer input by matching receiving documentation and obtaining management approvals to pay.
  • Codes invoices with proper account numbers and vendor numbers. Works with corporate personnel in obtaining new vendor numbers and correcting address information.
  • Verifies invoice amount and other pertinent information to eliminate errors before paying.
  • Coordinates with Purchasing Agent and storeroom personnel with respect to correct receiving data.
  • Submits invoice batches to supervisor for approval, and retrieval of pertinent tax, contractor, and project information.
  • Processes PO and Raw Material Invoices (input, scan, and index invoices) including backup and supplier justifications.
  • Maintains accurate, updated vendor files with hard copies of invoices paid for a most recent 3-year period.
  • Prepares raw material summaries and accrual reports for month-end processing.
  • Downloads weights and truck data from scale computer for daily reconciliation of raw materials.
  • Enters data in the Daily Plant Administration-Quarry Approval Page for the Daily Report.
  • Shares data electronically with vendors for coal, shale, sand, iron, gypsum, limestone, and alternative fuels. Prepares and submits bi-monthly billing statements for vendor approval.
  • Serves on Plant Safety Committee.
  • Maintains the Plant Emergency Account. Sends monthly reimbursement requests to Overland Park.
  • Performs other job-related responsibilities as requested such as miscellaneous typing, mail processing/delivery, and payroll data input.
  • Completes other assignments as requested by the immediate supervisor; including, but not limited to, job sharing and cross-training for Daily Sales and Production reports.

To succeed in this position, you will need:

  • Ability to read, write and understand warning labels, instructions, signs, etc.
  • High School Diploma or equivalent.
  • 2 or more years of experience in a similar position
