The position requires a broad understanding of organization operations, procedures, and personnel. Responsibilities include handling confidential and sensitive material, meeting planning, logistics and technology support, project work, and correspondence.

Day-To-Day
Performs all front desk functions including:
Efficient operation of a multi-line switchboard, including opening and closing.
Answers incoming calls, emails and greets visitors in a professional, friendly, and efficient manner, providing the Donor Alliance experience. Identifies caller and directs calls appropriately.
Handles incoming and outgoing packages/faxes and courier pick-up and delivery.
Responsible for checking in and directing visitors.
Provides administrative support to an assigned department, group, or individuals including, but not limited to:
Coordinates, integrates and administers a range of diverse administrative or staff functions.
Support of daily business activities at a department technical level.
Accurate and complete data entry and upload of documents into organizational databases and platforms.
Compose departmental correspondence in accordance with SOPPs, as well as, non-routine correspondence.
Reviews and edits outgoing correspondence for accuracy.
Project work, data gathering and reporting as assigned.
Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, logistics, and records and transcribes minutes of meetings, dependent on meeting requirements.
Responsible for office technology support and expertise, including but limited to, conference calls, virtual meeting platforms, and presentations.
Makes copies of correspondence or other printed materials.
Routes incoming mail/interoffice, prepares outgoing mail and correspondence, including e-mail and faxes.
Orders and maintains supplies.
Arranges schedules and reservations when appropriate.
Conducts research, and compiles and types statistical reports.
Responsible for assigned organizational committee membership and support.
Maintains confidentiality of donor and recipient information in accordance with Donor Alliance policies.
May perform other related duties as required to meet the ongoing needs of the organization.

Education and Work Experience Qualifications:
Bilingual (Spanish) strongly preferred
Basic knowledge of business administration practices and specialized training in administrative techniques gained through Business College, secretarial school, college preparatory school, or equivalent work experience required
Minimum of three (3) years' experience in diversified administrative assignments, including one to two years of progressively responsible experience required.
Proficiency in the use of computer equipment and software, including but not limited to, Windows environment (Word, Excel, Outlook – Intermediate to Advanced skills) required.
Strong interpersonal skills and ability to work both independently and as part of a team required.
Accuracy in punctuation, composition, and grammar required.
Task oriented, strong attention to detail required.
Demonstrated organizational skills, attention to detail, and strong ability to multi-task required.

Compensation:
$ $25.73, non-exempt
