Lawrence Academy seeks a motivated, capable administrator with excellent communication skills and development office experience for its Advancement Administrative Assistant and Gift Processor position.


Summary:
The Advancement Administrative Assistant and Gift Processor is responsible for processing all gifts, creating donor acknowledgments, and producing all relevant reports. This role also provides administrative support to all members of the advancement team including the LA Fund, alumni and parent programming, and all events as required. This is a full-time, non-exempt position reporting to the Director of Advancement Services.


Key Responsibilities:

Gift Processing Responsibilities:

• Organizes gifts received based on payment type in preparation for gift entry.

• Records all pledges and gifts retrieved by mail, online, wires, and stock notifications.

• Generates gift/tax receipts for all gifts.

• Creates all acknowledgment letters according to acknowledgment protocols established by the Advancement Team.

• Distributes all letters for appropriate signatures; completes mailing and copying process.

• Copies and files all hard-copy documentation of gifts; scans and files electronically all acknowledgment letters and receipts; and attaches to donor records in RE.

• Generates daily posting reports and reconciles them with the Business Office.

• Delivers copies of posting reports to the Business Office with monies received.

• Generates and files electronically, and distributes electronically daily, weekly, and monthly reports for the Advancement Office and the Business Office.

Record Keeping Responsibilities:

• Maintains constituent data by making changes to addresses, email, phone numbers, comments, class notes, do not mail, lost, deceased, solicit codes, etc. based on a request from the advancement team, alumni, business office, My Backpack profiles, returned mail, and NCOA.

• Creates new records in the database for constituents and constituent biographical data, etc.

• Updates current student and parent information in Raiser's Edge based on information received from parent updates on Veracross, through the business office, and from returned mail.

• Manages both domestic and international returned mail.

General Responsibilities:

• Records obituary information as received by constituencies, and updates appropriate departments.

• Provides support for all advancement events as needed, including but not limited to general registration and distribution of nametags and materials.

• Provides general administrative support, as needed, to all members of the Advancement team.

• Produces annual endowment stewardship letters for all LA Endowment funds with support from the Advancement team and Associate Head of School.

• Responsible for daily check of the mail.

Required Qualifications:

• Familiarity with Raiser's Edge or similar development database.

• High-level knowledge of Microsoft Office is required with proficiency in Word and Excel.

• Discretion and ability to work with sensitive donor and alumni information.

• Strong written, verbal, and interpersonal communication skills to effectively interact with a wide range of constituents and institutional departments, such as the business office.

• 5 years of experience in a rapid-paced office environment; development office experience is a plus.

• High attention to detail.

• Occasional weekend and evening commitments with advance notice.

• Bachelor's degree preferred.

• Candidates will be required to complete and successfully pass required background checks. These background checks include a Massachusetts Criminal Offender Record Information (CORI), a Sexual Offender Registry Information (SORI), a driving history records check, and a fingerprint-based state and national criminal history record.
