The BoCC Administrative position supports the Sedgwick County Commissioners with daily administrative tasks, including scheduling, preparing written communication, and screening phone calls.

Additionally, this position is responsible for completing special projects assigned by each commissioner, and may have conflicting or quickly changing priorities.

This position works with sensitive information, and requires a high level of professionalism and confidentiality.

Scheduling, Boards, and Committees

  • Monitor Commissioner calendars, and make updates due to schedule changes
  • Receive requests for meetings with Commissioners, and schedule as needed
  • Research external events and opportunities for Commissioner involvement
  • Communicate with Elections to ensure Commissioners are available or have an approved proxy to certify each election
  • Coordinate with departments and Commissioners for postings on openings on boards and committees, including notifications for expiring appointments, posting open seats, and sending applicants for review
  • Communicate information to new committee members to coordinate swearing in and other appointment information
  • Schedule and arrange county business related travel opportunities for Commissioners
  • Prepare packets, agenda and minutes for SCAC meeting (Sedgwick County Areas Cities)
  • Serve as a backup for DAB (District Advisory Board) meetings; including staffing and preparing minutes
Communication

  • Proofread correspondence from departments before adding to official letterhead
  • Assist with drafting correspondence on behalf of Commissioners as requested
  • Answer all calls to the Office of the Board of County Commissioners, and route appropriately
  • Work with the Strategic Communications Office to send out holiday notices
Office Administration

  • Ensure all stationary and other templates are current
  • Prepare agenda books as needed
  • Collect signatures on documents as needed
  • Assist with onboarding new Commissioners after elections

Responsible for staff work including varied assignments:

  • Provide administrative support to the County Manager and others are requested
  • Manager Staff Meeting Agenda and Details/Print Manager Notes
  • Phone support for Manager's Office and Counselor's Office
  • Courteous, prompt, and professional responses and interactions with citizens, all staff, and coworkers both on the phone and in person.
  • Compose correspondence, makes arrangements for conferences, scheduling meetings for department staff and coordinates meeting room reservations

Minimum Qualifications:
One year of experience in professional customer service. One year of experience in a professional administrative setting.

Preferred Qualifications Two years of experience working with confidential information. Two years of customer service in a professional office setting.
