Position Summary:
We are seeking an experienced Administrative Assistant to join our Commercial Property Management Team.

As a member of our team, you will provide essential support to both our internal department staff and third-party property management teams.

Your exceptional organizational and communication skills will be vital as you assist with various projects and initiatives aimed at improving efficiency and productivity within the Property Management department.


Core Roles & Responsibilities:

  • Assist with department project management, including data entry for software implementation.
  • Support management teams with vendor-related administrative tasks, such as vendor set-up, contracts, and invoice research.
  • Maintain databases for both direct and third-party personnel in Yardi and other systems.
  • Collaborate with the VP-PM and POM to update, enhance, and manage the PM Playbook.
  • Perform general administrative duties, including coordinating monthly reporting, managing service contracts, and composing correspondence relating to department projects.
  • Provide property-related assistance, such as managing vendor set-up processes, assisting with contract preparation, and supporting energy efficiency initiatives.

Desired Skills and Experience:

  • Two to four years of experience in an administrative or executive administrative capacity.
  • Experience in the real estate industry is a plus.
  • Proficiency with property management/accounting software, particularly Yardi (Voyager, Payscan), Excel, and other MS Windows applications.
  • Excellent verbal, written, and organizational skills.
  • Ability to thrive in a fast-paced, collaborative, and results-driven environment.
