Position Summary:

The Staff Assistant/Press Assistant position is a full time role that aids the entire Minnesota staff, especially the communications team, occasionally drives the Senator, and staffs the front desk. This person helps with the execution of public events and other projects. This person ensures that the front desk is appropriately staffed each day and records daily call totals to report out to staff. They also will support the state leadership team with office operations. For Staff Assistant duties, this person reports to the Deputy State Director.

This position also assists the office's communications team and will help with maintaining press lists and organizing clips, managing the website, facilitating the video remarks process, pitching events to media outlets, photographing and taking videos at events, drafting media advisories, press releases, and social media posts, drafting internal materials such as remarks, talking points, and one-pagers, and other relevant tasks as needed. For Press Assistant duties, this position reports directly to the State Communications Director.

Key Responsibilities:

Staff Assistant

  • Ensures that the front desk is covered appropriately (telephone calls are answered and handled properly, visitors are greeted and screened, requests for assistance are directed to the appropriate staff member in a timely manner, mail is sorted and distributed)
  • Documents constituent opinions and shares call tallies with staff
  • Assists staff with other administrative duties, as assigned by the Deputy State Director

Press Assistant

  • Maintain press lists and organize clips from events the Senator attends in Minnesota and staff outreach events
  • Assist with drafting social media posts, media advisories and press releases as needed
  • Assist with drafting interal materials such as remarks, talking points, and one-pagers
  • Staff, photograph, and take video when needed at press events in Minnesota
  • Keep event photos and video clips organized
  • Help with pitching events to media outlets
  • Facilitate the video remarks process
  • Assist with managing the website
  • Drive and staff the senator at events around the state
  • Assist the communications team with other duties, as assigned by the State Communications Director

Other Duties

  • Works closely with state leadership team to oversee all of the state office properties and act as point of contact for all vendors and landlords in the state
  • Order office supplies; arrange materials for off-site meetings (brochures, name tent templates, name badges, wall post -its, and handouts).
  • Works with Administrative Director and GSA on inventory
  • Assists with all administrative tasks related to hiring process.

Qualifications:

  • Bachelor's degree in Political Science, Communications, or related field; strong academic credentials, or equivalent professional experience.
  • Superior organizational skills and ability to multi-task
  • Strong oral and written communication skills
  • Ability to handle confidential documents and projects
  • Strong project management skills
  • Strong computer, Internet and research skills
  • Ability to work effectively and calmly in a fast-paced, high-pressure environment with daily deadlines
  • Previous political experience preferred
  • Previous communciations experience preferred
  • Valid driver's license and clean driving record
  • Experience in media writing, photography, videography/video editing, and the Adobe Creative Suite is highly valued
