As a Legal Assistant 3 supporting Western State Hospital, you will oversee complex legal support work and court scheduling. On any given day you will use your excellent leadership capabilities, communication skills, and problem-solving abilities as you assist with internal and external questions regarding cases in LINX, scheduling and coordinating court hearings, and directing people to the appropriate services or departments. Using empathy and compassion as you serve those navigating difficult and often stressful legal processes is a must.

How to be Successful in the Role:
Bring your understanding of customer service and complex legal support work, as well as a "can do" attitude. As a Legal Assistant 3, you will have greater responsibility and will act as a lead for Legal Assistant 2's who also support Western State Hospital cases. In this role, you will be responsible for initiating work and relieving the supervisor of technical legal work. You will exercise a greater degree of independence in problem solving, decision making and taking action. You will determine detailed procedures for carrying out assignments and workflow and will oversee assigned work within the Western State Hospital Unit. Multi-taskers, those with a high fluency in Microsoft Office Suite of programs (Word, Excel, PPT, and Outlook), and quick learners will be most successful in this environment.

Independent judgement, effective decision making, problem solving along with exceptional communication, customer service, and attention to detail will be successful in this role.

Core Daily Responsibilities:

  • Provide task supervision over workers in a department section of unit. Make work assignments, oversees performance of assigned jobs, and provide technical assistance as needed.
  • Provide input to supervisor for employee performance appraisal. Assist in resolving minor work and personnel problems. Assist and advise other employees in an area of specialization. May also assist in on-the-job training of newly assigned or reassigned employees.
  • Perform counter and/or phone work providing information to the public, advising attorneys and other interested parties regarding status of cases and legal procedures while maintaining security and confidentiality. May deal with sensitive and/or potentially volatile situations.
  • Coordinate or participate in the collection and preparation of complex reports requiring technical expertise or thorough knowledge of departmental operations, procedures, and regulations.
  • Organize case files in preparation for court trial; prepare new case activity files; encode or enter into database for court dates and/or attorney of record; maintain statistical records; process and distribute court case files.
  • Maintain legal files and case controls; extract information from files, prepare legal forms and papers; prepare and review files.
