What You Will Do

As a Payroll & Retirement Plan Customer Service Representative, you will be the primary point of contact with our clients and be expected to provide superb customer service and feedback to ensure data is received, uploaded, downloaded, transmitted, and communicated effectively and accurately. As a third-party administrator, upload clients' processed payroll files to financial institutions and process distributions and loans accurately and timely. You will manage participant communications in the form of mailings and email blasts and answer participant questions. This position requires attention to detail, flexibility, and superb time management skills to work as part of a dynamic team that provides our clients with top-level service.

THIS POSITION CAN BE FULLY REMOTE FOR THOSE WITH PRIOR INDUSTRY-RELATED EXPERIENCE OR IN-OFFICE HYBRID FOR THOSE WITH NO PRIOR RELATED EXPERIENCE.

Specific Tasks:

  • Process employee and employer contributions according to the regulations set forth by the Department of Labor and Internal Revenue Service and plan provisions.
  • Submit weekly, bi-weekly, semi-weekly, and monthly payroll contributions to the plan through record keeper websites.
  • Meet Compass Service Agreement standards promptly when interacting with clients, participants, vendors, and advisors, including addressing inquiries while processing payrolls, efficiently to ensure all interactions are conducted professionally and accurately.
  • Coordinate the electronic contributions process with payroll service vendors and employers facilitating the relationship between the employer and recordkeeper to provide fiduciary oversite.
  • Protect and secure all confidential data held by Compass to prevent unauthorized access, improper transmission, and/or unapproved disclosure of information.
  • Maintain accurate records of client interactions and transactions.
  • Provide deposit confirmations to the plan sponsor.
  • Complete and maintain the required 401(k) employee census when needed:
  • employee(s) date of birth, address, name and social security number
  • employment information including compensation, eligibility date, employee status, hire date, hours worked
  • Records and reports all contribution information including employee deferral amounts and/or loan repayments.
  • Format census data requests upon request of Compliance Staff, verifying accuracy with clients to ensure data is complete and submitted by established deadlines.
  • Processes and report deferral changes coinciding with the payroll cycle.
  • Assist in the process of participant communications including annual notices, enrollment materials, mailings, blackout notices, fee disclosures, QDIA Notices, Safe Harbor Notices, and other custom communications as requested via email, other electronic means, and regular mail.
  • Update other deferral amounts, document amendments, source changes, etc. data on vendor websites as required.
  • Respond to clients, participants, vendors, and advisors' emails and calls.
  • Stay updated on industry trends and changes in benefit regulations by actively seeking to maintain and enhance comprehensive knowledge and understanding of retirement industry rules.
