Provides administrative support to the Chief Financial Officer for Trinity Health's Illinois/Indiana region. Position requires high level of sensitivity and integrity due to the confidential nature of the work performed.

This position is located in the Regional Administrative Office in Westchester, IL

Position Responsibilities:

Receives and reviews contracts for the CFO's signature to ensure they have been properly routed and pre-approvals are in place. Keeps track of each contract while in process and facilitates timely return to owner. Maintains strict confidentiality regarding information within contracts.

Reviews faculty expense reimbursement requests for accuracy and adherence to Trinity Health corporate policy. Requests correction, if needed, before presenting to the CFO for approval and signature.

Screens incoming calls and forwards to the CFO, as appropriate. Coordinates and then schedules internal and external meetings through the Outlook calendar. Maintains calendar accurately, corrects conflicts, and keeps CFO advised of meeting attendance. Makes all necessary arrangements to facilite meetings, i.e., confirming AV equipment is properly functioning, ordering catering, if appropriate, etc.

Provides basic administrative support to CFO's direct reports, including acting as Kronos timekeeper and assisting in meeting scheduling.

Correspondence for CFO's signature. Creates and maintains accurate electronic filing system for correspondence, project materials and contracts so they are readily available upon request.

Arranges travel through the Concur online system, prepares travel itineraries and handles all travel arrangements for the CFO. Submits expense reimbursement requests, ensuring that expenses are within the Trinity Health policy.

Performs miscellaneous tasks related to finance such as preparation of check requests, forwarding bills and invoices for payment, providing general ledger information and downloading financial reports.

Performs general Regional Office support as well as back up and coverage for the Executive Assistant to the CEO.

Position Requirements:

Minimum Education:

Required: Administrative or technical background acquired through completion of 2 – 3 years of college

Preferred: Bachelor's Degree

Minimum Experience:

  • Required: 6 – 10 years of previous job-related experience
  • Preferred: 10+ years of previous job-related experience

Computer Skills:

  • Required: Basic keyboarding skills, Microsoft Office Suite
  • Preferred: Microsoft Outlook. Kronos, Adobe Pro
  • Other: Ability to operate standard office equipment and troubleshoot problems when necessary

Typing Words Per Minute: 55
