Greets patients in a friendly and professional manner when they enter the office. Notifies the involved department that their patient has arrived and directs the patients in an efficient, an orderly manner.Handles incoming mail: receives, opens, sorts and distributes all incoming mail and packages for the office.Initiates reminder phone calls to follow up patients in advance of their appointment.Logs payments daily and prepares deposit to be forwarded/deposited per office procedure. Prepares weekly deposit record when applicableMaintains office supplies. Order office supplies as needed in a timely mannerObtains demographic, insurance, and referral information. Verifies address and insurance information with follow patients to ensure accuracy. Obtains referrals from HMO patients and collects co-pays if applicable.Obtains patient information and records from referring physician office as well as downloading from affiliated hospital systems. During a telephone intake, ascertains what studies were performed on the patient and arranged for the patient to bring the studies (ie: X-rays, MRI's, CAT Scans, etc.) in with them along with their medical records. If the patient cannot pick these up, arrangements are made for the studies to be picked up. Scans records into electronic chart in advance of patient appointment.Performs data entry as appropriate to the center's charge entry proceduresPerforms other duties as assigned.Schedules appointments for new patients, re-evaluation and follow-up patients. Keeps the appointments within the framework of the current patient schedule format and the physician schedules. Any appointment outside the current format will be authorized by the team coordinator.Participates in meetings and on committees and represents the department and hospital in community outreach efforts. Participates in multi-disciplinary quality and service improvement teams.
