About the position:

This position is a member of the Office of Academic Clinical Affairs Human Resources (OACA HR) team at the University of Minnesota and supports all OACA units, which includes interdisciplinary clinical and research units. The HR Payroll Generalist coordinates, recommends and carries out a variety of operational functions and provides service across OACA. This includes being responsible for payroll processes, providing HRMS support and guidance, interpreting and applying contract and policy provisions, maintaining employee records, and identifying and implementing operational improvements. This position also works with the HR Operations Manager on various operations projects and process improvement. The position requires a high attention to detail in all aspects of entry, monitoring and reporting. Team members need to critically analyze system information and reports to identify and resolve issues proactively. The HR Payroll Generalist provides HR services in several functional areas as described below.

50% Payroll Entry, Processing, and Auditing

Review HRMS and payroll process across OACA
Audit documentation submitted for all employee groups for completeness, accuracy, and adherence to established policy and procedures. Prepare appropriate personnel action documents.
Complete entry into Human Resource Management System (HRMS) for new hires, terminations, resignations, pay rate changes, leaves of absence, and other payroll-related updates.
Prepare HRMS entry audit materials to supervisors. Process off-cycle check requests and overpayments.
Run the biweekly payroll close process. Run reports and queries to identify submitted time and absences that need to be approved before the payroll deadline and advise departments.
Reconcile bi-weekly payroll abstract against documentation to confirm employees receive correct pay and funding is applied correctly. Communicate any errors to department and take steps to resolve. Communicate needed salary distribution adjustments to OACA Finance.
Research, analyze, resolve and handle critical employee payroll discrepancies, such as under or overpayments, and reconcile issues; and job data records
Maintain internal payroll documents ensuring information is archived appropriately
Manage, investigate, analyze and resolve highly complex and sensitive employee appointments, data records and payroll discrepancies.
25% HR Operations Projects

Identify areas where OACA could increase efficiencies
Develop standardized practices, process improvements, training, and documentation to ensure efficient execution of payroll and HR processes; and data integrity
Work with HR Operations Manager to prioritize Ops projects, including documenting standard operating procedures, process improvement, and auditing cycle/reporting.
Represent OACA on the HRMS Executive Advisory Leadership Team and participates in the HRMS Advisory Group Committee meetings. Reports back to OACA HR Team about HRMS updates and new information.
15% Auditing, Data Cleanup and Data Entry Projects

Regularly use reporting tools and queries to audit HRMS data to maintain data integrity and identify potential issues.
Maintain data integrity by completing routine audits for position management and job data entry.
Run and reconcile reports and queries to ensure accurate job data records for all employees; correct records as needed
Identify and assist with data cleanup projects (salary grade updates, Reports To) and other data entry projects (retro salary increases, step realignments, market refinements).
Helping OACA student employees with scanning and entering documentation into electronic personnel files
10% Customer Service and Communication

Work with a wide variety of stakeholders including faculty, staff, supervisors, departmental administrators, accountants, OACA Finance and Central OHR and Payroll.
Respond to questions and explain complicated policies and procedures related to payroll including unit workflow and requirements, University policies and procedures, and correct time and absence reporting.
Subject matter expert on pay policy/process for OACA
Qualifications
All required qualifications must be documented on application materials

Required Qualifications

BA/BS degree in Human Resources or related field, or a combination of related education and professional HR work experience to equal four years.
Demonstrated proficiency with a high volume of transactions and multiple competing deadlines
Demonstrated commitment to customer service including effective oral and written communication skills
Experience with office applications including spreadsheets
Ability to maintain confidentiality
Preferred Qualifications

Experience working in Human Resources
At least 2 years of experience processing payroll
Experience working in an organization with multiple employee groups to include union and non-union staff, faculty, professional and administrative, undergraduate and graduate students.
Organizational skills with high attention to detail and ability to handle multiple projects simultaneously
Demonstrated ability to troubleshoot complex problems, solicit feedback, and make recommendations.
Experience with process improvement and process documentation to increase efficiency
Demonstrated advocacy in diversity.
Demonstrated ability/adaptability to learn new technologies/programs and train others on use of technology.
