The program assistant collaborates closely with program managers, coordinators, and directors to support the planning, logistics, and execution of programs ranging from small to mid-sized.

Key Responsibilities:

  • Support program managers, coordinators, and directors in various program activities such as new employee orientations, leadership trainings, facilitation sessions, virtual events, and special departmental functions
  • Manage parking, generate links, and communicate with participants to ensure they have the necessary details for event participation
  • Prepare, review, set up, and oversee all program session materials
  • Act as a producer for online sessions
  • Engage with participants or HR personnel prior to sessions to ensure accurate registration
  • Act as the main on-site contact for all program sessions, responsible for reporting any issues to the program team
  • Transport materials using personal vehicle to various locations within Coral Gables, Medical, and Marine campus or off-site when required
  • Assist the program coordinator in tracking training records on ULearn, Zoom, or similar platforms
  • Inventory all training materials and aid the program coordinator in inventory management

Skills and Qualifications:

  • Effective human relations and interpersonal skills
  • Strong service-oriented mindset and abilities
  • Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint
  • Ability to collaborate with individuals from diverse backgrounds
  • Capability to make prompt decisions with minimal oversight
  • Detail-oriented and highly organized
  • Excellent verbal and written communication skills
  • Capacity to juggle multiple projects simultaneously, even with overlapping deadlines
  • Flexible availability, including evenings and weekends as needed (minimal)

Education & Work Experience Requirements:

  • Associate's degree
  • One to three years of relevant work experience or transferable skills
