Brief Summary of Work for this position:

The Retention Specialist is responsible for managing and coordinating retention efforts and data that supports student success outcomes. The incumbent will maintain a current knowledge of appropriate college and academic policies, processes, and procedures to assure efficiency and integrity of retention services. This position serves as lead for data management, collection, and analysis for all initiatives and projects coordinated by the unit.

Responsibilities include:
  • Oversees and/or participates in the coordination and completion retention and data related projects
  • Manage all retention services data collection, input, analysis, and quality assurance for all student data within internal data management systems
  • Develop, monitor, and maintain a retention database
  • Maintain efficiencies, processes, and data within retention services; as well as, assigned campus wide student success initiatives
  • Monitor reliability and accuracy of all data content uploaded and disseminated from retention services
  • Coordinate and collaborate with Institutional Research and other campus departments for retention related data needs for reporting and routine auditing
  • Develop and maintain internal data management and control for efficiency
  • Create, maintain, and disburse student and retention reports to university leadership and key stakeholders
  • Responsible for data integrity, and execution of all administrative processes for all retention services initiatives and projects
  • Assist the Assistant Director in ensuring compliance with and implementation of student services related regulations, policies, and procedures
  • Schedule and conduct retention team meetings with campus wide partners
  • Track outcomes of interventions, utilize the data for informed decision-making, and implement the necessary refinements/updates.
  • Additional duties as assigned

Minimum Education and Experience Requirements:

  • Bachelor's degree from an accredited institution in Research, Statistics, Mathematics, Computer Science or Information Systems or related field, and two years of related training or experience. An equivalent combination of education and experience may be substituted on a case-by-case basis
  • Experience with student data platforms such as Starfish, EAB, Banner, or other similar data platforms
  • Proficiency in Microsoft Office
  • Ability to work effectively and maintain confidentiality with students and their families, faculty, staff, and alumni
  • Experience with quantitative and qualitative research data and drafting reports

Preferred Education, Knowledge, Skills & Experience :

  • Master's degree in computer science, higher education, or business
  • 2+ years of work experience in CRM platforms or databases
  • 1+ years of work experience with student data platforms such as Starfish, EAB, Banner, or other similar data platforms
  • 1+ years of work experience within in higher education academic or student affairs
  • Strong data analytics skills
  • Excellent supervisory, oral, and written communication skills
  • The ability to work well both independently and in a team environment
  • Proven knowledge and experience using Microsoft Office365 software, specifically proficient in the use of Publisher, Outlook, Word, Excel, PowerPoint, Microsoft One Drive, Forms, TEAMs, Starfish, SSRS Banner 9, Slate, Tableau, etc.
  • Demonstrate ability to organize numerous projects requiring attention to detail and consistently meet deadlines

Academic Affairs is the central division for implementing the mission of the University of North Carolina Wilmington ( UNCW ). Through effective academic policies, practices, and programs, it provides leadership for excellence in teaching, scholarship, and creative work as well as service to local, regional, and global communities. The division allocates resources to recruit and retain faculty scholars and to create a learning environment that encourages students. As part of the University's commitment to excellence in retention and student Success, the Student Engagement, Enrollment, and Retention unit was created to develop and enact policies, processes, and programs that advance UNCW's academic mission through the support of the Colleges and other divisions of the institution.

The Student Engagement, Enrollment, and Retention unit is one of eight primary functional areas within the Division of Academic Affairs. The departments within the unit support the recruitment and enrollment of students; work with colleges and other units on marketing and branding activities to achieve enrollment targets; coordinate advising through University College; manage the activities of the Registrar; handle all financial aid and scholarship activities; conduct admissions application review for undergraduate programs and assist in application processing for graduate students; coordinate the advising and support program for student athletes, and, oversee Student Success and Retention efforts for the university, partnering with the Division of Student Affairs and other units on campus.Currently:Academic Affairs is the central division for implementing the mission of the University of North Carolina Wilmington ( UNCW ). The Undergraduate Retention and Student Success ( URSS ) unit is dedicated to empowering students with integrity and compassion, utilizing strengths-based programming and collaborating with campus partners to support student success through to degree completion.

The unit engages in data informed strengths-based retention and student success practices including, but not limited to:Empowering students to identify, address, and navigate their barriers.Advocating for policy changes that hinder student success.Providing student-focused programming.Using data to inform and elevate strengths-based, intentional outreach.Employing strategic technologies to support student success and retention.Building and sustaining campus partnerships.Developing and contributing to High Impact Practices.

College/School Information:

The University College is the first academic home for over 3,000 new first-year students each year. First-year students (including select transfer and military students) are advised in the University College until they declare a major or pre-major. The University College also administers the following academic programs and courses: First Year Seminar, Academic Learning Communities, and Synergy: The UNCW Common Reading program in addition to supporting student who are interested in Pre-Health and pre-Law professions.
